The Rosetta Commons is a consortium of scientists who create software to model and design biomolecules. We create new drugs, vaccines, materials, enzymes, and biotechnology tools, and we reveal diverse molecular structures to understand biology, health and medicine. We are a diverse group of over 80 laboratories in institutions around the world, including biologists, biochemists, engineers, computer scientists, physicists, educators, and others. We have biannual conferences, a robust set of training programs, and a strong network to foster collaborations between labs and with industry partners. We are seeking a Senior Administrative Coordinator to support all of these operations.

Thjs individual will work closely with the two co-Directors of the Rosetta Commons to ensure appropriate communications while consistently meeting the needs of multiple constituent groups including faculty, staff, students, and external stakeholders.

Specific Duties & Responsibilities:

  • Effectively manage the complex calendar of the co-Directors (particularly for Rosetta Commons activities) and support others in the executive office as needed.
  • This includes scheduling meetings, resolving scheduling conflicts, prioritizing requests, and arranging meeting logistics (A/V, catering, meeting locations).
  • Prepare the co-Directors for meetings and events by researching and gathering critical information on issues, developing and proposing agenda items, confirming meeting details, and conducting/tracking necessary follow-ups.
  • Provide coordination and support of justice, equity, diversity and inclusion (JEDI) work in the Rosetta Commons community.
  • Provide coordination and support for Rosetta delegations to outreach and affinity conferences.
  • Support for building out fellowship and training programs.
  • Implement a system to track the Rosetta Commons projects/tasks and update on an ongoing basis.
  • Ensure that co-Directors and other Rosetta Commons leaders (e.g. conference chairs) are aware of impending deadlines and the status of their respective projects/tasks.
  • Prepare and disseminate communications to facilitate interactions of a diverse group of scientists within the Rosetta Commons.
  • Prepare, post, and update website and social media to representing the group’s work to external constituents.
  • Schedule and provide logistical support for meetings and conferences by securing room reservations; setting up meeting spaces; selecting, ordering, and mailing invitations; tracking invitees’ attendance; planning event menus and ordering catering; collecting speaker bios; and distributing post-meeting surveys (primarily for the two annual community-wide meetings).
  • As requested, attends events to provide on-site assistance.

Minimum Qualifications (Mandatory):

  • High School Diploma/GED.
  • Five years progressively responsible administrative experience.
  • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.*

* JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.

Preferred Qualifications:

  • Bachelor’s Degree.
  • Attention to detail, experience with complex tasks and management, SAP experience.

Starting Salary Range: $20.02 - $27.51/hr (commensurate with experience)
