As a part of a diverse community of faculty and staff who represent many faith systems and worldviews, Marian University seeks an Administrative Assistant to promote our Catholic Franciscan mission and identity by providing high quality customer service support to students, faculty, staff, and the general public. The Administrative Assistant is a vital position to the daily operations of the Registrar’s Office and serves as the first point of contact for most customers. This position is responsible for making sure the general office operates efficiently and effectively on a daily basis to support that work of mid and senior level staff members. This position is often called upon to complete several tasks simultaneously.

 

Essential Duties and Responsibilities:

  • Provide high level of customer service at the front counter, over the phone, and by email on a daily basis. Route questions to appropriate office personnel or other offices as necessary
  • Open the main office each morning (office opens promptly at 8am)
  • Process daily transcript requests and keep staff informed of updates related to our online ordering system
  • Process enrollment and degree verifications and work with data submitted to the National Student Clearinghouse
  • Assist the Director in soliciting and tracking incomplete grades when due and process grade changes submitted by faculty
  • Assist the Director in the mailing of diplomas
  • Monitor and order office supplies as needed, while adhering to the office budget
  • Keep the main office organized by filing paperwork in student digital files; moving files to/from vault as needed; tracking digital/emailed forms within the main office email system and filing the information appropriately
  • Assist the Director with website and university portal updates
  • Assist the Director in the course offering/schedule of classes build
  • Work in Colleague daily to enter data into the system – advisor/major change forms, address updates, grade entry, withdraw from college processing and reporting, registrations, waiting lists, etc.
  • Adhere to the Family Education Rights and Privacy Act (FERPA) federal law.
  • Actively engage the Catholic Franciscan mission and identity of Marian University by modeling the Franciscan Sponsorship Values and honoring the legacy of the founding congregation through transformative education, unity in diversity, leadership through service, integrating faith and life, and institutional policies.
  • Assist with the daily operations of the office and other job duties, as assigned

  • Ability to operate personal computer and various software programs.
  • Ability to maintain confidentiality.
  • Flexibility to work some weekend hours during the course of a year

Required Qualifications:

  • Bachelor’s degree required
  • Previous experience in a university setting preferred
  • Work schedule is 8am – 4:30pm, Monday-Friday
