About the Department:
Central Services is placed organizationally within Library Administration and encompasses four major functional and operational areas: Facilities and Business Services, Library Human Resources and Payroll, Financial Management Services, and Communications. The mission of Central Services is to ensure the libraries' four central services operations are integrated, timely, high-quality, equitable, accessible, and cost-effective.

Position Summary
The Administrative Assistant provides administrative and reception support to the UO Libraries Administrative Team (AT), which handles internal and external administrative matters for the Libraries and provides managerial leadership, strategic planning, development, and direction of the overall operations. As the first Libraries representative that many students, employees, and guests meet, the Administrative Assistant plays a vital role in promoting our values and supporting our mission. They are responsible for greeting visitors to the administrative suite, answering the main phone line, scheduling large meetings, and managing department and event space email accounts, travel administration, and office coordination.
Minimum Requirements
  • Two years of general clerical experience. One year of which included typing, word processing, or other experience generating documents; OR
  • An Associate's degree in Office Occupations or Office Technology; OR
  • Graduation from a private school of business with a Certificate in Office Occupations or Office Technology and one year of general clerical experience.

    College courses in Office Occupations or Office Technology will substitute for the required experience on a year-for-year basis.

  • Excellent customer service skills.
  • Strong organizational skills and high attention to detail.
  • Excellent verbal and written communication skills, and ability to produce professional correspondence, documents, and reports.
  • Ability to work effectively in a diverse team environment and create effective relationships for problem-solving and positive interactions.
    Preferred Qualifications
  • Proficiency with MS Office Suite, including Excel, Word, Outlook, and PowerPoint.
  • Experience with Concur Travel Management System.
