Howard Community College is recruiting for an Office Associate IV to work onsite in Columbia, MD to support our Math Division Office.

GENERAL RESPONSIBILITIES

Operates and implements microcomputer software including the Microsoft Office Suite and MathType to perform advanced word processing tasks for faculty, chairpersons, deans, and staff as well as other projects for the Mathematics division. Works in Ellucian Colleague to input and retrieve college information. Uses the HCC portal, internet, and AdAstra Scheduler; prioritizes and coordinates advanced and detailed word processing and data processing assignments, new employee processes, and financial requests. Confers with the Academic Office Supervisor and other associates when needs arise. Maintains extensive file system (electronic and paper documents), keeping it current and updated to provide easy access.

WORK PERFORMED

  • Performs highly skilled word processing for deans, associate deans, department chairs, coordinators, and full-time and part-time faculty.
  • Provides general office clerical support to include filing, faxing, laminating, scanning, collating, and bulk mailings.
  • Interacts with students/visitors to answer questions, provide information, direct visitors to appropriate destination, and verify submission of writing assignments.
  • Inputs new employees into colleague accurately while tracking and maintaining communication with them through completion of hiring process and policies. This includes processing I-9 and new paperwork.
  • Troubleshoots with faculty and deans regarding the use of their personal computers, HCC network and/or software.
  • Assists with updating course/section information and any other necessary information from Colleague.
  • Assists in generating and process adjunct contracts, FT overload contracts. Tracks to completion and information integrity.
  • Designs and maintains spreadsheets, new forms, administrative documents, tables and databases for faculty, deans and department chairs as directed.
  • Assists with entering semester schedules, adding courses, entering faculty assignments and stipends, and accessing confidential student/staff records in Colleague.
  • Proofs all documents generated and aides in proofreading as needed.
  • Schedules and makes requests for lectures, program events, staff and faculty meetings and division meetings on main campus using AdAstra.
  • Responsible for tracking and collection of N/A rosters, final grades and course syllabi making sure faculty adhere to the associated processes and deadlines.
  • Accesses colleague computer to input and retrieve college information.
  • Provides office staff, faculty and chairpersons with reports and/or looks up reports, rosters, and any other necessary information using colleague.
  • Responsible for assisting and training full- and part-time faculty with copier and other equipment.
  • Responsible for coordinating book orders and desk copy requests each semester with faculty and book representatives.
  • Responsible for office supply orders and distribution of supplies to division office staff, faculty, and chairpersons, and helps maintain the storage of supplies within the division.
  • Problem solves inquiries of every kind, including in-person, telephone, e-mail, voicemail, and written correspondence.
  • Assists with planning and preparation of division sponsored activities including those funded through grants.
  • Performs other duties as assigned.
  • High school diploma or equivalent. A.A. Degree preferred.
  • A minimum of three years of office-related work experience or an approved combination of education and experience.
  • Knowledge of software packages including Windows, Microsoft Word, PowerPoint, Excel, Access, and graphical packages.
  • Knowledge of Ellucian enterprise system, preferred, or other administrative software suites (Banner etc.).
  • Knowledge of proper grammar, spelling, and typing formats.
  • Has standard knowledge of office procedures.

OTHER REQUIREMENTS

  • Ability to work in a stressful environment with multiple demands for attention from faculty and students, both in-person and on the phone.
  • Proficient keyboarding skills.
  • Ability to produce technical, scientific, and mathematical documents.
  • Ability to communicate effectively, both verbally and in writing.
  • Ability to maintain strict confidentiality.
  • Regular attendance is a requirement of this position.
  • Performs all duties while considering the impact of any actions on the college's sustainability initiatives in the areas of environmental stewardship, social responsibility, and economic prosperity.
  • Flexibility required; M-F days and evening hours occasionally to meet the departments needs.

Hours Per Week: 37.5
Work Schedule: 8:30 am - 5 pm, M-F days, occasional evenings
Compensation: $17.53/hour ($34,308/year)
FLSA Status: Non-Exempt
Grade: 7

As a participating member of the Maryland Retirement and Pension System, HCC offers two retirement options: The Pension, which requires a 7% employee contribution and The ORP, a 403(b) with a 7.25% employer contribution only. Employees in positions that do not require a bachelor's degree must participate in The Pension. Employees that possess a bachelor's degree and hold professional positions that require a bachelor's degree may choose to participate in either The Pension or The ORP.

This position reports to campus daily in Columbia, MD.

HCC is interested in all qualified applicants who are eligible to work in the United States. However, HCC will generally not sponsor applicants for work visas. Only employees living in states contiguous to Maryland are eligible to work at HCC to include Virginia, West Virginia, Washington DC, Pennsylvania. Candidates must live in the commutable area or willing to relocate at their own expense if offered the position because HCC does not offer relocation benefits.
