Reporting directly to the Executive Vice President for Academic Affairs and Provost (EVPAA), the executive assistant provides administrative, operational, and executive support, accommodating shifting priorities in a fast-paced environment to facilitate the EVPAA’s ability to effectively lead Academic Affairs.

Essential Duties and Responsibilities:

  • Assists with strategic day-to-day leadership and direction of all academic aspects of the Office of the Executive Vice President for Academic Affairs and Provost.
  • In collaboration with the Administrative Specialist, maintains the EVPAA’s near-term and long-range calendar, schedule of agendas for recurring meetings, anticipated retreats, conferences, System activities, and planned speaking engagements. Prioritizes access to the EVPAA according to their priorities to help ensure that appropriate time is allocated for key strategic initiatives and key constituencies.
  • Works closely with the EVPAA to keep them well-informed of upcoming commitments and responsibilities. Anticipates EVPAA’s needs in preparation for meetings and events, ensuring that the EVPAA is fully briefed and prepared.
  • Ensures that matters requiring the EVPAA’s attention are prioritized appropriately.
  • Reviews correspondence, reports, and presentations submitted to the EVPAA; obtains additional information and/or recommends appropriate
  • Facilitates the EVPAA office’s response to daily requests from the community.
  • Tracks and follows up on the progress of a wide range of programs, initiatives, and activities for the EVPAA and, when requested, for the President. Assesses progress on goals/priorities and takes appropriate action to influence outcomes.
  • Gathers information and facts and drafts communications, briefings, major addresses, remarks, and presentations for the EVPAA, as well as routine correspondence.
  • Organizes meetings (call for agenda items, creation of agenda, taking of minutes, follow-up), events, and social functions on behalf of the EVPAA.
  • Assists the EVPAA in managing productive, strategic relationships between the Office of Academic Affairs and colleges, offices, and programs both within and outside of the university.
  • Commits to organizational improvement by identifying opportunities to improve and recommending possible alternatives for a situation.
  • Coordinates program proposals. Advises faculty/staff/administrators on process and policy.
  • Provides direct supervision to classified staff, conducting performance assessments, delegating work assignments, organizing responsibilities, and developing policies and procedures to ensure productive and efficient office operations in support of the EVPAA.
  • Contributes to a working environment that is team-oriented, anticipatory, supportive, and encourages constructive feedback on performance.
  • Performs other reasonably related duties as assigned.
