Director - Administration & Finance

About the Opportunity

Reporting to the Senior Vice President for External Affairs, the Director of Administration and Finance is responsible for managing critical day-to-day business operations in support of the division's mission. The Director's primary responsibilities are the sound fiscal/budget management of the division and the implementation and oversight of effective and efficient human resource management operational activities for all departments within the division of External Affairs. Currently this includes, Communications, Marketing, Government Relations, and Experience Magazine.
The Director will take direction from and work closely with the Senior Vice President for External Affairs regarding division-wide areas of fiscal responsibility, human resource management, general office management, and operations-related policies/procedures. S/he/they will interact closely and regularly with the heads of the division's operational units VP for Marketing, VP for Communications, and VP for Government Relations, as well as with department-level managers to ensure human resource management, budget issues and operational needs are addressed and managed in a timely manner.

The Director will evaluate existing operations procedures to determine opportunities for improvements, and will establish new programs, policies, and protocols to enhance how the division functions, and to benefit the External Affairs staff.

Key responsibilities include:

  • Division-wide Human Resource management
  • Support division in all hiring and human resource management decisions
  • Oversee the management of daily operations across the division
  • Division-wide financial planning, management, and monitoring
  • Prepare standard and ad hoc financial reports as required
  • Ensure proper usage of funds and monitor open salary lines, revenue sources, and movement between budget categories
  • Maintain policies and controls for financial functions
  • Evaluate, recommend, and implement cost saving measures
  • Manage all division contracts
  • Manage IT, finance, and administrative operation team members
  • Space planning

    Qualifications:

    Knowledge of experience in finance administration, human resources, and project management. Ability to plan, lead staff, collaborate, and make effective decisions. Effective communication skills, analytical skills and ability to focus on the big picture and the overall operational needs of the division while simultaneously executing the day-to-day transactional and tactical activities. Knowledge and skills typically acquired through a bachelor's degree and 6-8 years of experience.
