Governors State University is seeking to hire an Office Manager for the College of Education Dean. This is a temporary assignment that will end when funding or hours is exhausted (approximately 1.5 years with the possibility of another year based on funding). Employees in this position will perform a variety of duties as assigned by their supervisor.
  • Answer telephones and direct calls to appropriate personnel
  • Greets guests & visitors
  • Answers routine inquiries and performs public contact duties that require knowledge of established departmental procedures and familiarity with operations and programs within the department
  • Filing and copying as assigned
  • Other general office support as necessary
50% – Tutor Supervision (between 40-80 tutors per semester)
• Ensure each tutoring match has a set schedule and location and documents submitted within data system.
• Review submitted tutoring session forms to ensure completion and identify any trends or needs. Each tutor will have materials reviewed a minimum of once every two (2) weeks.
• Recommend additional training/supports to tutors based on evaluations. Meet and/or observe tutors as needed or directed by Institutional Partner Office Coordinator.
• Report to Institutional Partner Office Coordinator on tutoring session outcomes and needs.
• Participate in weekly staff meeting to identify needs/troubleshoot tutoring concerns.
• Contact person for any tutoring session concerns or troubleshooting needs.

25% – Tutor Hiring, Payment and District Partner Coordination
• Complete and process all hiring paperwork for tutors.
• Track attendance of tutors for tutoring sessions and ensure accuracy of timesheets.
• Share recruitment materials with District Partners and ensure widespread communication of recruitment materials across local community.
• Track and approve all submitted timecards for tutors.
• Maintain budgetary documents and ledger related to all grant office expenditures and report to Institutional Partner Office Coordinator at least monthly.
• Meet weekly with Institutional Partner Office team to ensure any process or tutor evaluation changes are made consistently across region.

10% – Equipment and Materials Library Management
• Maintain an inventory listing of all tutoring equipment and materials.
• Create and maintain a check-in/check-out system for all materials and equipment.
• Identify and communicate any repairs or needs related to tutoring equipment and materials.

10% – Records Management
• Maintains filing system for tutor matches in either their institutional partner areas or within their online tutoring matches and miscellaneous records.
• Completes queries as needed for reporting.

5% – Performs other duties as assigned.

Starting Salary: $50,000.00

Minimum Qualifications
REQUIRED : DOCUMENTATION CONFIRMING HIGH SCHOOL COMPLETION OR EQUIVALENT MUST BE ATTACHED FOR CONSIDERATION OF THIS POSITION, COLLEGE / UNIVERSITY TRANSCRIPTS MAY BE SUBSTITUTED (See “Special instructions to applicants” section below).

1. High school diploma or equivalent.
2. Any one or combination totaling twenty-four (24) months from the following categories:
a. Work experience performing clerical/office support work including use of computer
systems
b. Vocation training that provided a knowledge of generally accepted clerical procedures
c. College or university course work in Office Occupations, Business Administration,
Business Education, or closely related fields; 36 semester hours = twenty-four (24) months
d. College or university course work in any curriculum; 60 semester hours = twenty-four
(24) months.
3. General office skills including data entry, typing, telephone, reception.
4. Basic skills in Word and Excel. Preferred Qualifications
Bachelor’s degree.
Previous experience working on large scale projects and/or grant funded projects.
K-12 experience.
Advanced compute/database skills and/or graphic design skills.
Excellent organizational skills.
Excellent communication skills.
