Position Purpose

The Office and Programs Coordinator is the first point of contact and models the Dickey Center’s commitment to being a welcoming and inclusive community for all interested in global engagement and international understanding. The coordinator facilitates seamless integration of shared administrative, financial, and logistical support services for the Dickey Center that advances office efficiency, expedites the work of others, and ensures the smooth operation of the office,

Required Qualifications - Education and Yrs Exp

Associates plus 2-3 years' experience or equivalent combination of education and experience

Required Qualifications - Skills, Knowledge and Abilities
  • Associates degree or the equivalent combination of education and experience.
  • Two – three years of administrative management experience.
  • In-depth knowledge of office procedures.
  • Strong organizational and planning skills and the ability to set priorities.
  • Excellent interpersonal skills and written and oral communication skills.
  • Highly proficient with computer applications such as Microsoft Word and Microsoft Excel, including advanced functions in these software programs.
  • Highly proficient with database systems (e.g., FileMaker).
  • Prior experience websites, account and people management software.
  • Understanding of and sensitivity to the needs and concerns of a diverse student population.
  • Ability to maintain confidentiality.
  • Initiative, sound judgment, and the ability to work independently.
  • Ability to work in a busy office environment with frequent interruptions.
  • Commitment to diversity and to serving the needs of a diverse community.
Preferred Qualifications
  • Four or more years of office experience in administrative or office management, with an ability to work with a high degree of autonomy.
  • Familiarity with working with a college-aged population.
  • Experience in event planning.
  • Bachelor’s degree preferred.
  • Prior experience with Terra Dotta, IRA, eProcurement, Banner, Drupal, and Canvas a plus.
  • Interest international affairs and/or cross-cultural understanding or international experience.

Key Accountabilities

Description

Student Financial & Data Base Support
Keeps the student-facing programs of the Center operating effectively and efficiently through the accurate, timely and comprehensive management of student financial transactions (payroll and other payments, reconciling purchasing charges, financial reporting) and management of student information (database, applications and reporting). Is a proactive problem solver who stays current with changing campus electronic systems and IT support.

Communication
Creates a welcoming environment and friendly reception for all coming to the Dickey Center, deploying a comprehensive knowledge of Center programs and resources to assist and direct community members and visitors to the Center. Ensures that Center website and print materials are current, and monitors Center phone and (e)mail inquiries. Engages with all Dickey Center staff and helps facilitate intra-office flow of information.

Description

Office Coordination
Working with the Dickey Center Finance and Operations Manager, ensures that the Center’s physical spaces are organized, shared resources (supplies, copier, kitchen, etc.) are well-maintained and functional, and that common spaces are utilized efficiently and effectively.

Program and Event Support
As part of the Dickey Center team, provides efficient logistical and administrative support for programs and events that engage and educate students, faculty, staff and the public in the vital international issues of the day.
