Primary Purpose of Organizational Unit

The Division for University Advancement (UA) is responsible for the following primary goals:

1) Coordinate a campus-wide, comprehensive effort to raise philanthropic funds that support the strategic plan and mission of the university.

2) Manage an inclusive alumni engagement program designed to serve and engage nearly 100,000 alumni as ambassadors, advocates and donors.

3) Strengthen and expand UNCW’s donor pipeline through effective discovery, cultivation, solicitation and stewardship strategies.

4) Ensure that external boards ( UNCW Foundation Board, Board of Visitors, Student Aid Association Board, Alumni Association Board of Directors and the Friends of UNCW ) are effective in their mission of supporting UNCW .

The division’s fundraising efforts are enhanced by effective partnerships with the campus community as well as external constituents including alumni, parents, corporations, foundations, volunteers and friends. Development areas include annual giving, leadership annual giving, major gifts, principal gifts, corporate and foundation engagement and planned giving, as well as alumni engagement. Prospect development, events and board management, stewardship, communications and advancement services are support services for the fundraising activities of the division.

UNCW’s Division for University Advancement is actively recruiting for a strategic leader who can build upon our successes and elevate our operations concurrent with the university’s nationally rising reputation.

In recent years, the university has realized unprecedented fundraising growth along with increases in the number of alumni donors. The recipients of a 2018 CASE Educational Fundraising Award, among other industry accolades, our team prides itself on being innovative and donor centric while holding firm to our values of accountability, collaboration and creating efficiencies within the organization.

With fundraising as a pillar in the university’s strategic planning process, we are in the public phase of a $100 million comprehensive campaign and enthusiastic about further enriching our team.

The Donor Agreement Associate position will function as a member of a team of development and advancement professionals and a member of the University Advancement staff.

Reporting to the Assistant Vice Chancellor for Major Gifts, the Donor Agreement Associate ensures donor agreements are drafted and executed in a way that fulfills both donor intention and UNCW’s mission.

Key Responsibilities:

• Guides and trains development staff and staff external to the division (Financial Aid, Business Affairs, Academic Affairs, Admissions and the Office of General Counsel) working collaboratively to develop donor agreements; serves as donor agreement resource expert.
• Drafts, edits and prepares donor agreements in accordance with best practices and FERPA, IRS guidelines and UNCW policies.
• Conducts regular, informal audits to ensure funds are placed in the correct accounts in a timely manner and are linked appropriately.
• Identifies opportunities to establish internal processes that will ensure donor intent is being met and works with appropriate staff to manage processes.
• Provides exceptional customer service to donors, development staff and external constituents.
• Documents agreements within the databases in a timely manner to support timely investment and awards.
• Complies with UNCW policies, IRS Regulations, FERPA laws, and generally accepted accounting principles.
• Prepares and verifies data related to various reports including but not limited to endowment reports, quarterly Board of Trustees reports, etc.; creates reports containing financial data, such as historical gift value, spendable amounts, market value and expenditures for endowments, student contact data in order to execute stewardship plans (to include but not limited to prepping data for endowment reports, annual scholarship writing sessions, recognition events, website updates and impact reports).
• Interprets existing UNCW policies, conducts research and ensures that all procedures are followed.
• Manages the process for fund development in Advancement, Financial Aid, and Business Affairs.

Minimum Education and Experience Requirements
  • Bachelor’s degree; or equivalent combination of training and experience
  • All degrees must be received from appropriately accredited institutions
Preferred education, professional skills and experience

• Experience with Scholarship Administration software – NextGen, Academic Works
• Experience working in Raiser’s Edge or similar relational database software
• Working knowledge or experience with Banner software
• Experience with Docusign software
• Experience working in privately funded scholarship administration in higher education
• Demonstrated attention to detail to perform work accurately
• Ability to identify, analyze, interpret and evaluate data, situations or problems to determine and implement appropriate courses of action with regard to donor agreements for internal and external constituencies; ability to respond to questions and issues that deviate from standard operating procedures
• Superior written and verbal communication, interpersonal, relationship building, creative problem solving skills
• Demonstrated passion for service excellence, integrity, a positive outlook, commitment to the highest standard of donor ethics, a strong work ethic, be self-motivated and committed to high performance and dedication to the value of higher education
• Ability to maintain positive working relationships using good judgment and discretion with high level UA administrators and other staff along with donors and university partners that they encounter in their work
• Dedication to providing common support to the UA Division and to participate and engage in activities that support this mission beyond those items specifically listed above
