Perform a variety of secretarial and operational duties in support of the Hammond Health Center Business Office to include developing and maintaining clinic schedules, staff schedules, and committee meeting schedules. Maintain the Health Center website and process patient record releases. Assist clinical staff with projects and provide overall customer service.

  1. Create, maintain, and oversee all scheduling within the Hammond Health Center to include schedules for clinicians, registered nurses, x-ray, conference room, and administrative and on-call schedules, and various clinics offered through the Health Center. Create semester schedule templates, maintain schedule as changes occur and oversee and troubleshoot problems and concerns through the electronic scheduling systems. Work closely with the Director in maintaining his/her schedule.
  2. Develop, maintain, and oversee the integrated health management electronic scheduling systems to include administration of the user access rights and communication with system programmers to design and implement system changes.
  3. Assist the Manager of Health Center Operations and the Supervisor of Nurses in coordinating and scheduling all immunization clinics offered through the Hammond Health Center.
  4. Provide assistance in the purchasing of inventory and order and maintain office supplies utilizing the College pro-card.
  5. Maintain and update Health Center policy manuals and books; work in consultation with various Health Center committees to develop and document policies and procedures. Document and distribute staff and business office meeting minutes.
  6. Schedule appointments for Health Center patients working with students needing interviews for school projects. Respond to general inquires form parents, students and other constituents.
  7. Screen visitors and provide non-clinical information and make referrals to the appropriate offices. Answer telephones, take messages and reply to questions in accordance with general instructions. Provide instructions or information to staff members and dispatch security and maintenance calls.
  8. Provide assistance to the Manager of Health Center Operations and the Director in preparing the annual report and other projects to include processing special housing accommodation forms, typing minutes, memos, correspondence, medical transcription and other information and projects; work closely with the Athletic Teams Physician to record releases.
  9. Complete the Business Office Quality Assurance monitors as directed.
  10. Develop and maintain the Hammond Health Center Web site and master calendar.
  11. Attain and maintain familiarity with Health Center insurance files, counseling center procedures, medication room and front desk procedures, census system, health certification systems, and billing to assume duties of other office staff in his/her absence or as directed; participate in special projects as assigned.
  12. Process student insurance claims and enter health certification data during semester breaks and provide assistance in handling patient flow, calling in prescriptions, helping in the medication room, printing lab results and phoning clinicians on-call as appropriate or directed.
  13. Ensure confidentiality and security of student files, office facilities, equipment and records. Set up and maintain a variety of files and records. Respond to requests for archived records and process all release of information requests adhering to HIPPA and FERPA regulations.
  14. Maintain respect for patients' rights as prescribed by Patient Bill of Rights
  15. Provide guidance and direction to student assistants.


High school diploma and a minimum of 2 years experience in electronic medical scheduling and medical billing, familiarity with medical billing and transcription terminology, ICD-9 and CPT codes as well as third-party billing and insurance interactions, ability to handle confidential material and answer inquiries concerning billing with a diversity of patients and clientele, ability to work independently and as a team player in a complex health care environment, excellent attention to detail, highly organized with strong oral and written communication skills, and familiarity with word processing and spreadsheet, and database software programs are required.
