Job Summary

The Advising Services Coordinator is responsible for managing all front-end customer service and advising operations, coordinating with Registrar's Office staff and front-end student employees to provide a seamless reception experience for students, staff, and faculty. The Advising Services Coordinator will serve as the first point of contact for email, phone, and walk-in inquiries for the Academic Advising Center (AAC). This position is also responsible for several key processes related to planning, coordinating, and managing all administrative operations for the AAC, including hiring, training, and supervising a team of shared student employees.

Front-End Customer Service

  • Directly oversee front-end customer service operations for the Academic Advising Center, including reception, email, and phone calls.
  • Command a comprehensive knowledge of the services, resources, policies, and procedures of the College in order to provide accurate and timely information to students, faculty, prospective students/parents, and administrators who visit, phone, or email the office.
  • Responsible for the hiring, training, supervising, and evaluating of student workers.
  • Ensure student employees provide accurate information and high-quality service to students, parents, faculty, and staff.
  • Independently determine operational needs for shared front-end operations of both the Academic Advising Center and the Registrar's Office; collaborate with Registrar Services Coordinator as needed.
  • Determine student and faculty advising needs to independently deliver guidance regarding college-wide policies and procedures.


Advising Operational Support

  • Serve as key part of the Advising/Registrar Operations Team, consisting of Associate Director of Advising, Senior Associate Registrar, and Registrar Services Coordinator to determine best practices for shared front desk operations.
  • Collaborate with the Registrar Services Coordinator to assign job duties to student employees as needed.
  • Directly support Director and Associate Director; indirectly support full advising team of six professional advisors.
  • Monitor the Advising supply budget and order supplies, materials, and equipment as needed.
  • Independently plan and execute advising-related programming, including college-wide orientation and student service events.
  • Independently determine curricular changes made by individual academic departments; update and revise new student registration materials and informational handouts accordingly.
  • Monitor student employee budget and process expense reports, check requests, and purchase orders.


Process Management

  • Independently execute and process all major, minor, and faculty advisor changes for all undergraduate students, ensuring accurate recording in Banner, DegreeWorks, and other student databases.
  • Independently execute the registration process of all specialty classes.
  • Manage the preparation and execution of incoming student registration; complete registration process for incoming new first-time and transfer students according to college-wide curricula.
  • Manage Priority Registration process in collaboration with Student Accessibility Services.
  • Serve as accurate and authoritative faculty advising hotline during college-wide advising and registration periods; determine which faculty advisors could benefit from additional advising training and escalate to Associate Director as needed.


Your Other Responsibilities:

  • Manage student assessment tools in collaboration with Associate Directors.
  • Manage department website and social media accounts.
  • Facilitate initial outreach to key student populations and/or students of concern.
  • Collaborate with Information Technology to ensure accurate student contact statistical database.
  • Represent the Academic Advising Center at campus events.
  • Collaborate with Registrar Services Coordinator to produce a weekly electronic newsletter.
  • All other administrative duties as assigned by management team.


Your Qualifications:

  • Ability to work independently and make informed decisions
  • Strong customer service, interpersonal, and communication skills, including the ability to concisely articulate and clearly explain policies, concepts, and processes
  • Positive attitude and ability to patiently support students, families, faculty, and staff
  • Keen organizational skills and attention to detail
  • Ability to quickly adapt to change and apply learned knowledge to new situations
  • Proven commitment to building and working in an inclusive, equitable, and diverse environment
  • Ability to anticipate student, faculty and/or staff needs and respond in a timely manner
  • Associate's degree or equivalent experience
  • Two or more years of administrative experience, which should include office management, supporting staff, and customer service
  • Strong interpersonal and communication skills, both written and oral, with a demonstrated commitment to positive customer service
  • Keen organizational skills and attention to detail
  • Confidence with technology, primarily MS Word, MS Excel, Adobe Acrobat, and Google-based assessment tools
  • Self-motivated with the ability to independently manage and complete multiple projects


You'll be Preferred with:

  • Bachelor's degree or equivalent experience
  • Excellent conflict resolution skills
  • Self-motivated with experience managing direct reports and/or supervising student workers
  • Working knowledge of Banner Student Information System and/or DegreeWorks
  • Two or more years of higher education experience, particularly in advising, registration, or student services

Scheduled Weekly Hours: 36.25

Hiring Range: $52,200.00 - $54,700.00

This position will be exclusively represented by the Service Employees International Union (SEIU), Local 888 for purposes of wages, hours and other terms and conditions of employment.
