Hollins University is seeking qualified candidates for two academic administrative assistants. These positions serve as the primary support people for the assigned division chair, faculty, staff, and students.

The assistants are the primary contact for the division and associated departments including foot traffic, phone calls, and general e-mails. They help with electronic and print communications, maintain department budget records, prepare division meeting materials and minutes, take care of equipment and supply needs, help with special events, coordinate logistics for visiting lecturers and speakers, assist with faculty searches, and handle internal and external mail. Additionally, the assistants supervise 2-4 student employees during the academic year including scheduling, training, and evaluating. Both positions report to the Executive Assistant to the Provost and work 37.5 hours/week approximately August through mid-May and 22.5 hours/week for the remainder of the calendar year.

One position also assists the Provost’s Office including scheduling appointments for the Interim Associate Provost, serving as general support and managing scheduling for the Director of Faculty Development and the Director of the General Education Program, and helping with special research projects. The other position also assists the International Programs Office with various projects and budget reports.

The successful applicants must have a high school diploma or equivalent, minimum of three years of related experience, and proficiency with Microsoft Office and multifunction printers. Excellent written and verbal communication, customer service, and interpersonal skills are required, as well as excellent organizational, time management, multitasking, detail, and accuracy skills. Candidates must have abilities to work in a fast-paced environment with constant interruptions, to work independently and as a team member, and to work effectively with diverse faculty, students, and other university constituents.

Preferred candidates will have two years of college, previous experience in an administrative support role in higher education, previous experience working in or managing a professional office setting, Ellucian Banner experience, and knowledge of and experience with Hollins University.
