Position Overview:

Provide secretarial and administrative support for one or several department professionals or offices. Responsible for the functioning of an office or department. Initiates and handles correspondence relating to a department or program. Performs a variety of sorting and filing tasks; answers the phone, takes messages, and disseminates information; opens, sorts, distributes, collects, and delivers mail; performs a number of tasks such as posting and recording data. Produce documents of various levels of complexity, ranging from plain copy typing to the manipulation of data to create presentations. May make contacts of a sensitive, complex, and confidential nature. Responsible for providing various services to customers such as assisting customers in securing needed information and documents. May be responsible for departmental budget; managing calendars and appointments; event and meeting planning.

Department Specific Essential Job Functions:

Assist HES with coordination of webinars, seminars, workshops and other events and programming. Tasks include coordination of materials, mail, registrations, filing of appropriate documents and forms; creating and/or updating webpages, promotional materials and social media. Responsible for assisting with budget management, department travel, requisitions, calendar management, storage unit inventory; schedules staff meetings and records notes; orders and maintains inventory of supplies and equipment; other tasks as needed. Skill using computer programs (for example, Microsoft office 365, Banner, Paycom, Concur —travel software, WCMS website platform editor, Touchnet and Qualtrics.

Qualifications

Qualifications Required:

Requires general education or vocational training and 6+ years of relevant experience. Must be customer service oriented. Experience in an educational environment.

Qualifications Preferred:

Two years of college or Bachelor's degree. Experience in higher education. Three to four years' experience in customer service, office management, bookkeeping or financial tracking. Experience with these computer programs: Microsoft Office 365, Banner, Paycom, Concur (travel software), WCMS (website platform editor), Touchnet and Qualtrics.
