Title: Executive Administrative Assistant
Position Summary: To Assist the Vice President for Academic Affairs with efficient operations of that department.
Duties and Responsibilities: Collaboration with the divisions and departments under the Vice President's supervision to coordinate an effective and smooth flow of documents and information and help meet deadlines. Manage essential services and processes for faculty including: promotions and tenure process, term to tenure track conversion process, teaching load reports, payroll, peer evaluation, student evaluations, faculty meetings, credentialing files, and in service. Manage services and processes for academic administration including: budgeting, scheduling, organization of meetings and the Academic Affairs calendar. Manage internal office operations including: assisting with hiring and overseeing part-time employees and managing the Vice President's calendar, arranging meetings, and answering phone calls. Monitor proper distribution of work among support staff. Assist individual students as needed. Take minutes as assigned by the Vice President. Other duties as assigned.
Required Qualifications: Associate's degree. Five years of related experience.
Preferred Qualifications: Certified Administrative Professional (CAP) certification. Familiarity with Banner, TBR policies and procedures and experience with scheduling videoconferencing and using software for electronic signatures. Work experience in an administrative support role at Volunteer State Community College.
Knowledge, Skills, Abilities, and Work Characteristics: Proficient in Microsoft Office applications. Ability to communicate effectively and work cooperatively with a diverse faculty, staff, and student population. Strong organizational skills; attention to detail. Strong math skills. Ability to work independently with minimal supervision.
Pay Rate: 32,600.00 - 39,120.00 annual salary depending on experience
