Position Summary

Under the direction of the dean or designee, the incumbent is responsible for the coordination of the full scope of multiple large-scale project activities of the College of Continuing Education's Deans' Office including initiation, execution, coordination, implementation, and evaluation. The incumbent is further responsible for the coordination of events, internal and external communications, calendars, and office systems and protocols in support of the Deans' Office.

The administrative coordinator must possess strong customer service skills, be attentive to detail, have demonstrated ability to meet multiple deadlines, and must be able to work with interruptions in a fast paced environment.

FLSA: Non-exempt

CSU Classification Salary Range: 3,352 - $5,639 per month

Hiring Range: Anticipated hiring range, within the classification range - $3,352 - $5,065 per month, commensurate with candidate's education, experience, skills, and training.

Salary Grade/Range: 1035-COORDINATOR II-Grade-2

Recruitment Type: Temporary

Time Base: Full-Time

Pay Plan: 12 months

Work Hours: Monday - Friday, 8 a.m. - 5 p.m.; work hours may vary depending on department operations

Department Information

The College of Continuing Education (CCE) extends the mission of the university by increasing access for non-traditional learners. With a primary expertise on serving adult learners, CCE provides programs and services to individuals and employers year-round, unbound by traditional semester schedules and formats. CCE serves a hybrid student body that extends beyond California, serving over 80,000 learners annually through in-person, hybrid and fully online workshops, courses, conferences, certificate and degree programs.

The CCE Dean's Office leads the college mission, vision, and strategic goals through community engagement, campus affairs, and internal department guidance.

Minimum Qualifications
Entry to this classification requires a fully functional knowledge of and skill in standard office procedures and practices, as well as an ability to understand and operate in a variety of organizational structures. Additionally, incumbents are expected to have a thorough knowledge of English grammar, spelling, and punctuation and be able to clearly communicate orally and in writing. Some positions may require a knowledge of business mathematics beyond basic arithmetic. The ability to use and quickly learn new office support technology systems and software packages is also a prerequisite.

These entry qualifications would normally be obtained through a high school program, technical/vocational program, or their equivalents combined with several years of related office work experience.

EXPERIENCE
1. Experience providing administrative support for an executive or similar experience
2. Experience coordinating projects through their entire life cycle
3. Experience in the development and coordination of events such as meetings, conferences, trips
4. Experience with budget and reconciliation processes
5. Experience working with database and data entry with high accuracy
6. Experience using standard office software programs (MS Word, Excel, PowerPoint, Access, Internet
Explorer)

KNOWLEDGE, SKILLS, ABILITIES
7. Effective communication and interpersonal skills (verbal and written) to work across operational and
programming units (at all levels) and their sub-units as well as with external constituencies
8. Ability to maintain confidentiality and discretion
9. Project management skills (e.g. identifying goals, scope, schedule, and costs) including project leadership skills
10. Organizational and time management skills
11. Attentive to detail
12. Ability to independently problem solve and resolve conflict

OTHER
13. Ability to travel locally and statewide, as needed, to support the essential functions of the position.

Preferred Qualifications

14. Certificate related to project management, business operations and administration or similar focus.
15. Experience with enterprise data systems (e.g. PeopleSoft)
16. Experience working in higher education.
17. Experience or education in public policy and policy analysis
