The Registrar Services Coordinator reports to the Registrar's Office but works in a combined Registrar's Office and Academic Advising Center. This position manages front-end customer service, coordinating with Academic Advising staff and front-end student employees to provide a seamless and friendly customer experience for students, families, faculty, and staff. The role serves as the first point of contact for email, phone, and walk-in inquiries for the Registrar's Office. The Registrar Services Coordinator is also responsible for the management of several key processes related to registration and academic record management, including but not limited to: contract course registration, enrollment and degree verifications, transcript and Apostille fulfilment, grade changes, and processing student leaves of absence and withdrawals.

Customer Service
  • Serves as the first point of contact for email, phone, and walk-in inquiries for the Registrar's Office.
  • Commands a comprehensive knowledge of the services, resources, policies, and procedures of the College, and provides it in an accurate and timely manner.
  • Responsible for the accurate and timely documentation and recording of relevant student exchanges in Emerson's document management and student information systems and escalates issues to other departments and staff appropriately.
  • Collaborates with the Advising Services Coordinator to establish best practices for shared front desk operations, and training, and to assign projects and guide student employees as needed.


Process Management
  • Independently execute the registration process for course audits and contract courses (directed studies/projects, theses, production projects, and practica).
  • Completes the leave of absence and student college withdrawal process for undergraduate, graduate, and online students.
  • Coordinates with students and faculty to facilitate and process course withdrawals, grade changes, and Incomplete Learning Contracts. Determines whether withdrawals, grade changes, or incompletes affect academic standing.
  • Manages the transcript ordering process through our 3rd party vendor Parchment; fulfills internal and hardcopy transcript requests, and alumni transcript requests for Marlboro College, for which Emerson is the record custodian.
  • Fulfills electronic/hard copy requests for degree and enrollment verification (which may include the following scenarios):
    • Verification of enrollment prior to, during, and after matriculation;
    • Manual enrollment and degree verifications for the National Student Clearinghouse, as needed;
    • Tuition insurance verification forms;
    • Sibling Enrollment verification forms;
    • Scholarship enrollment verification forms;
    • In-School Deferment request forms;
  • Coordinates the processing of Common App Transfer College Reports with the Office of Community Standards.
  • Coordinates with students/alumni and staff to manage and fulfill Apostille requests.


Your Other Responsibilities:
  • Manages and executes the Registrar's Office's record retention policy and coordinates with our secure shredding company (Green Mountain) to pick-up records to be destroyed.
  • Serves as liaison between the Registrar's Office and various stakeholders when audited by providing and maintaining requested records. Stakeholders may include Veterans Affairs, Financial Aid, and College Counsel.
  • Creates and distributes a weekly electronic newsletter which is used to keep Advising, Registrar, and student employees updated on upcoming dates, deadlines and processes.
  • Monitors the Registrar supply budget and orders supplies, materials, and equipment as needed.
  • Processes and distributes incoming mail for the office.
  • All other duties and projects as assigned.

Your Qualifications:
  • Strong customer service focus and strong interpersonal, and (written and oral) communication skills, including the ability to articulate and explain policies, concepts, and processes concisely and clearly.
  • Has a positive attitude and works patiently and supportively with students, families, faculty, and staff.
  • Keen organizational skills and attention to detail.
  • Ability to adapt to change quickly and apply learned knowledge to new situations.
  • Proven commitment to working in and promoting an inclusive, equitable, and diverse environment.
  • Ability to anticipate a student, faculty or staff member's needs and to investigate, respond and follow-up in a timely manner as necessary.
  • Associates degree required. Two or more years of administrative office experience, which should include customer service and supporting other staff members.
  • Learns new software quickly and is comfortable with data entry and with navigating complex systems. Proficiency in Word, Excel, and Acrobat is required.
  • Self-motivated with the ability to independently, manage and complete multiple projects.
  • Proven ability to prioritize and meet competing deadlines.


You'll be Preferred with:
  • Bachelor's degree or higher degree.
  • Two or more years of Higher Education experience in Registration or Advising.
  • Experience managing direct reports or supervising student workers
  • Working knowledge of Banner Student Information System, Degree Works, Banner Document Management System, and using cloud storage (Box, Google Drive, Drop Box, etc.)


Grade of Position: A15E

Scheduled Weekly Hours: 36.25

Hiring Range: $52,200.00 - $54,700.00

This position will be exclusively represented by the Service Employees International Union (SEIU), Local 888 for purposes of wages, hours and other terms and conditions of employment.
