Hagerstown Community College, located in western Maryland, is pleased to announce an employment opportunity for a Student Financial Aid Data Coordinator position.
SUMMARY STATEMENT
The Student Financial Aid Data Coordinator is primarily responsible
for maintaining the Colleague financial aid module along with
coordinating all aspects of Maryland State grants.
ESSENTIAL DUTIES
A. Collects and Maintains Financial Aid Data and Reports
1. Coordination and completion of Maryland Student Financial Aid Reports (to include but not limited to): a. Part-Time Grant annual reportb. Financial Aid Information Systems report (FAIS)
c. Campus Based Education Assistance Grant report (CB-EAG)
d. Foster Care Tuition Waiver report
e. Ad-hoc reporting
2. Prepares and coordinates with PIE the annual FAIS report (Maryland Financial Aid Institutional Summary)
B. Maryland Student Financial Aid Processing and Management
2. Confirms student eligibility before awarding state grants/scholarships.
3. Compile data necessary to award the Campus Based MD Education Assistance Grant and use the data to successfully award eligible students for CBEAG awards.
4. Coordinates, with Admission, the Maryland Promise program including student outreach, award, and reconciliation.
5. Reconciles the Maryland state award billing roster for Fall and Spring semesters and for total end of year disbursements.
6. Request funds from Maryland Department of Education (MDCAPS).
7. Serves as the Maryland Tuition Waiver liaison by collaborating with Admissions to identify and counsel tuition waiver students.
8. Awards/Monitors/Revises Maryland Tuition Waiver awards including Foster Care, Homeless Youth, and Students with Disabilities.
C. Maintenance of the Communications Module
2. Coordinates the missing information requests: a. Set-up the automatic review of Institutional Student Information Reports (ISIR) Comment Codes to determine documents and actions required
b. Set parameters to request the appropriate documentation from students selected for verification.
c. Maintaining policies and procedures for annual implementation of communication codes.
3. Responsible for setting up new communication codes, documents, letters and emails in the Communication Module.
D. Maintenance of Student Financial Aid Application Data
2. Responsible for electronic receipt of Institutional Student Information Records (ISIRs) and transmitting the ISIR data into the Colleague data system from the SAIG mailbox (Student Aid Internet Gateway).
3. Responsible for reviewing e-communities for Colleague updates and releases, creating a Trackit for any changes and following up to ensure all updates, patches and releases are completed quickly.
4. Responsible for annual rebuilding, maintenance and setup of rules, budgets, attendance patterns, and all other information related Financial Aid and Communications Management module for each new ACYR year.
5. Responsible for the yearly updates and changes or minor day to day updates and changes in the Image Now system utilized by the college.
6. Retrieving student financial aid history from NSLDS via the SAIG mailbox and importing this information into the FA module of Colleague.
7. Assist with the annual setting of budget parameters for need analysis i. (review of ISIR information) and awarding of student financial aid funds.
8. Collecting and organizing application data needed to complete various i. surveys and reports.
9. Ensures that Pell Grant, Direct Loan, and Correction data is sent to the Department of Education daily.
10. Responsible for reviewing/updating critical SFAO emails including missing documentation, campus store FA purchases, and direct deposit reminder.
E. Student Counseling Responsibilities
2. Assists with advising students having academic difficulties and/or considering withdrawing from courses
3. Maintain confidentiality by assisting students with delicate financial aid situations away from the front counter
4. Assists student with completing appropriate paperwork for state grant programs including verification, acceptance, and appeals
F. General Office Duties
2. Assist in reviewing, calculating and processing revisions to the student FA awards.
3. Assist with SFAO presentations and commencement ceremonies.
4. Assist with updating financial aid forms and materials.
5. Assist with the management of special processes and projects as assigned by the Director of Financial Aid and/or the Student Financial Aid Manager.
6. Assists with evening coverage for the SFAO Office, as needed.
7. Preforms duties of the other SFAO Counselors in their absence.
8. Monitor text messaging system daily for individual texting number.
9. Provide phone and email support, as needed.
EDUCATION AND EXPERIENCE
Position requires a Bachelor’s degree and at least one-year experience in higher education, preferably in a financial aid office. Master’s degree and experience with integrated software systems and experience in a Student Financial Aid Office preferred.
SKILLS AND ABILITIES
Proficient use of MS Office Suite software and ability to perform detail-work with extreme accuracy. Experience with Perceptive Content or another document imaging program is helpful. Experience with Ellucian Colleague student information systems helpful. Experience with the US Department of Education Software for Student Financial Aid Office: Common Origination and Disbursement (COD) Student Aid Internet Gateway (SAIG), eCampus-Based (eCB). FAA Access to Central Processing System Online, National Student Loan Data System (NSLDS), Maryland Department of Education (MD CAPS) is helpful. Experience with reporting software – INFORMER.
