Salary Range: $5,351.00/month to $7,633.00/month. PLEASE NOTE: The starting salary placement depends on qualifications and experience and is anticipated to be in the range of $5,351.00/month to $6,090.00/month.

ABOUT THE POSITION:

The CLASS Student Services Center Lead position is under the general supervision of the Associate Dean of CLASS with direction from the Associate Director of Academic Advising. Additionally, the incumbent works closely with other CLASS and AACE academic advising staff on both the Concord and Hayward Campuses.

The incumbent is charged with leading and maintaining the CLASS Student Service Center (SSC) (main and satellite centers) and creating proactive services, programs, and activities to support students. The incumbent manages the day-to-day operations, leads the work of two SSPs (professional advisors) and student workers, and handles complex and difficult student issues. This position develops and implements strategies to address students’ academic success as well as the professional development of the center’s staff.  This position coordinates training and collaboration for other CLASS SSP positions and Faculty Advising Fellows. 

RESPONSIBILITIES:

Development, Coordination, and Delivery of Advising Services for CLASS

a) Provides guidance, direction, and oversight of staff and student assistants in the CLASS Student Service Center, including managing daily activities and operations (schedules and work) and conducting staff meetings.

b) Analyzes student record reports to identify appropriate actions/responses (e.g targeted proactive student campaigns, policy changes, etc.) likely to result in increased student success and establishes appropriate goals around them.

c) Develops tasks/projects for staff in support of department, College, and campus-wide goals and provides necessary training and resources to complete them.

d) Evaluates effectiveness of current strategies, policies, and procedures in meeting student success goals and provides guidance, recommended courses of action, and implements proposed solutions as appropriate.

e) Provides leadership and constant communication to CLASS student services center staff on new and updated University policies, requiring ongoing understanding of evolving academic policies and procedures and their impacts; conducts investigations and research on complex student concerns and multifaceted sensitive issues of individual students, staff, faculty, department chairs and other programs and constituents in a timely manner. 

f) Exercises high-level analytical, complex problem-solving, and interpersonal skills in handling complex issues such as advising students on academic probation to develop strategies to get back on track and meet the chancellor’s office retention and graduation initiatives.  Works closely and fluently with department chairs on various issues related to understanding campus policy changes and implementing new advising tools (i.e. DAR and EAB Navigate).

g) Assesses, recommends, and coordinates professional development activities and workshops to foster team building and learning various campus program services that will contribute to the academic success of our students.  These activities and workshops are extended to professional advisors and Faculty Advising Fellows within the College of Science and are facilitated by departments such as AACE, SCAA, Counseling and Psychological Services; Project HOPE; Veterans Programs; Student Accessibility Program and Project Impact; Financial Aid Office; and Registrar’s Office.

h) Provides feedback regarding the performance of staff and identifies areas of achievement and areas needing improvement.  Works closely with the staff in establishing goals (new projects) or areas needing improvement through mentoring, continuous training and professional development events and participating in student success conferences.  Consultation with the Dean or Associate Dean as needed is expected.

i) Represents CLASS in University wide committees and events, such as New Transfer Student and Freshmen Orientation, First Year Freshmen Major Exploration Events; Graduate School Fairs; Advising Council; and Student Success Collaborative committees. 

j) Provides updates to the Dean and Associate Dean regarding the operations and success of the Center. 

k) Oversees the CLASS SSC email account including monitoring and responding to student email as needed.

Advising and Graduation

a) Provides comprehensive advice and support for prospective, current and returning upper division students whose majors are served by the Center.  This position evaluates transcripts from other institutions attended and determines their equivalencies in fulfillment of the major and minor requirements.

b) Provides developmental advice to upper division students in choosing and/or changing their majors/options and/or minors to ensure progression toward completion of university requirements. 

c) Exercises professional judgement in providing the best course of action to ensure that there will be no unnecessary delays in students’ progress towards completion of their majors and/or minors leading to graduation.  Familiarity with roadmaps is essential.

d) Organizes, runs, and publicizes CLASS SSC online drop-in advising. Trains SSC to participate in drop-in advising and hire and train a student worker to manage the waiting room.

Registration Related Service

a) Provides assistance for undergraduate registration services.  For example; add/drop; waitlist verification; special registration petitions for independent study and/or internships; withdrawal; late withdrawal; late enrollment petitions; petitions to exceed registration units etc. 

b) Communicates with major departments or the Office of the Registrar and refer students appropriately for problems (i.e., Title IX holds, payment holds; financial aid disqualification holds) not handled by CLASS student services center.

REQUIRED QUALIFICATIONS:

  • A thorough knowledge of the principles of individual and group behavior
  • General knowledge of principles, practices and trends of student services field
  • General knowledge of individual and group counseling techniques
  • General knowledge of the policies, procedures and practices of the program area assigned
  • Working knowledge of student services programs outside of the immediately assigned area
  • Ability to analyze complex situations accurately and adopt effective course(s) of action
  • Ability to advise students individually and/or in groups on complex student related matters
  • Ability to establish and maintain collaborative working relationships with various campus constituents
  • Computer programs such as PowerPoint, Word, Excel
  • Imaging software; PeopleSoft; OnBase; EAB Navigate (Bay Advisor)
  • Knowledge and sensitivity to issues faced by students and faculty
  • Ability to bridge policy and technology by learning and integrating the use of multiple computer applications and share this knowledge with other staff
  • Demonstrate excellent oral and written communication skills via phone, technology and in person
  • Must possess excellent interpersonal, customer service and public relations skills

MINIMUM QUALIFICATIONS:

Equivalent to graduation from a four-year college or university in a related field plus upper division or graduate work in counseling techniques, interviewing and conflict resolution where such are job related.

Equivalent of four years of progressively responsible professional student services work experience which includes advising students individually and in groups and in analysis and resolution of complex student services problems. A Master’s degree in Counseling, Clinical Psychology; Social Work or a job-related field maybe substituted for one year of professional experience.  A doctorate degree and appropriate internship or clinical training in counseling, guidance or job-related field maybe substituted for two years of the required professional experience for positions within a major responsibility for professional, personal or career counseling.

Satisfactory completion of a background check (including LiveScan, as appropriate), that may include, but is not limited to: criminal records check, verification of academic credentials, licenses, certificates, credit history, professional references and/or verification of work history is required for employment.  Cal State East Bay will issue a conditional offer of employment to the selected candidate, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information. Unsatisfactory results may also affect the continued employment of current Cal State East Bay employees who were conditionally offered the position.
