Administrative Assistant to the VP, IEP&C

SALARY: $59,324.00 Annually

DEPARTMENT: Institutional Effectiveness, Planning, and Compliance

REPORTS TO: Vice President, Institutional Effectiveness, Planning, and Compliance

PRINCIPAL RESPONSIBILITIES:
  1. Provides administrative support to the Vice President, Institutional Effectiveness, Planning, and Compliance.
  2. Schedules and maintains the Vice President's calendar and prepares materials for meetings and conferences, as well as making media and food arrangements.
  3. Conducts research and prepares correspondence and other documents as directed by the Vice President.
  4. Coordinates arrangements for College-related business and social functions of the Vice President and Board of Trustees, including travel arrangements.
  5. Responds to inquiries, complaints, and requests for information and assistance and disseminates information from the Vice President's office to all concerned departments and individuals.
  6. Provides direct administrative support to committees, taskforces, and other groups established by the Vice President.
  7. Serves as the primary liaison between the Vice President’s Office and other administrative offices.
  8. Sets up and maintains filing systems for the Vice President’s Office.
  9. Coordinates logistics of office space in the Vice President’s Office and office workflow.
  10. Orders new equipment, if necessary, for the Executive Suite and prepares equipment maintenance contracts paperwork.
  11. Provides administrative support for other Executives and General Counsel on an as needed basis.
  12. Assists the Office of Labor Relations and Office of Human Resources in periodic administrative duties as needed, including filing, completing paperwork, and other front-desk duties.
  13. Performs other work as assigned.


MINIMUM QUALIFICATIONS:
  • Associate's degree
  • Two years of full-time experience as an Administrative Assistant in a busy office setting, which includes working independently on multiple projects with a variety of people and deadlines
  • Experience providing Executive-level support
  • Excellent written, oral, and interpersonal communication skills
  • Demonstrated organizational, planning, and multi-taking skills
  • Proficiency in Microsoft Office and Zoom Conference platform
PREFERRED QUALIFICATIONS:
  • Bachelor’s degree
  • Previous work experience in an academic area, college, or school setting
  • Bilingual in English and Spanish
SUPPLEMENTAL INFORMATION:

SCHEDULE: Monday - Friday, 8:30 a.m. - 4:30 p.m.

RETIREMENT: Pension Eligible

Any new employee hired by Middlesex College after September 1, 2011 must comply with New Jersey Residency requirements.
