College of Lake County has an exciting opportunity in our Finance Department for a Payroll Associate. The Payroll Associate prepares the payroll for all employees of the College, including grant and contract programs.

Required Qualification
1. A high school diploma, or equivalent, is required.
2. A minimum of two (2) years of payroll-related experience is required. Student/Customer Service: 20%
1) Respond to inquiries from employees regarding payroll checks, withholding, etc.; refer employee to Administrator as appropriate.

Payroll/Reconciliations/Reporting: 25%
1) Determine that all salaries are posted to the appropriate accounts as indicated in the labor distribution reports and in accordance with the guidance of the Comptroller and in cooperation with the Director of Business Services
2) Balance, prepare, and submit quarterly payroll reports
3) Initiate, prepare, and issue W-2 and miscellaneous revenue forms.
4) Coordinate all payroll activities in accordance with the systems requirements of the payroll system, and work with the Information Systems Director and staff as necessary.
5) Perform clerical, secretarial, and other duties as assigned.

Department Operations and Processes: 50%
1) Prepare the bi-weekly pay checks of all employees.
2) Ensure that all authorized, or legally mandated, withholdings are withheld, are supported by appropriate documentation, and are forwarded promptly to the appropriate agency with the necessary remittance advice.
3) Enter employees on the payroll only with the written authorization of the Director of Human Resources or a designee; verify that all employee wages, stipends, payouts, salary increases, and mentor payments have been approved by the Director of Human Resources (or designee) and are submitted on appropriate authorization forms.
4) Review contracts, authorization forms, and notice in change of salary forms to ensure that all amounts being paid are in accordance with current documentation.
5) Verify the enrollment for Life Insurance, Long-Term Disability, Health and Dental Insurance, prepare billings and records for all payments for current employees and for employees on Leave of Absence who are continuing insurance, or those who have opted for COBRA .
6) Ascertain that all student worker’s wages are submitted on proper authorization forms, with the approval of the Director of Financial Aid, or designee, before entering into the payroll system.
7) Process direct wire transfer deposits of payroll checks.
