Distinguishing Career Features

The Student Events Specialist serves student government and the ASCC. The position requires demonstrated skill at itemizing and sequencing the steps for executing events and for assisting students in government processes.

Summary
Provide logistics, technical, and staff support to student activities, programs and government. Develops communications for, and coordinates set up for special student events. Maintains files, records, and budgets for the Associated Students of Cerritos College.

Job Duties
Essential Duties and Responsibilities
  • Provides support to student programs such as, but not limited to, ASCC government, homecoming, awards, banquets, commencement, conferences, and elections. Receives proposals, applications, or instructions. Arranges logistics for key elements such as venue, setup, catering, announcements, decorations, and awards.
  • Sets up sequential order of event steps and lead times to assure readiness. Orders supplies, certificates, awards, arranges for catering services, prepares name cards and badges, and secures props and other requests.
  • Prepares original correspondence, brochures, flyers, banners, and other materials used in communications and promotions that support events.
  • Assists with, and facilitates steps for student elections. Receives applications, verifies student status and adequacy of petitions, assists in organizing elections and controlling voting.
  • Creates and maintains agendas for student government meetings and assists in or advises student leaders on note-taking procedures.
  • Creates and maintains files and records of student government services and activities. Clears and processes student government applications. Verifies students' eligibility for participation. Ensures that agendas and minutes of proceedings are posted. .
  • Assists with research and development of ASCC budget proposals. Administers approved budgets and periodically reconciles account details.
  • Collects fees for various events. Reconciles fees received. Prepares requisitions to pay vendors or to transfer funds for accounts payable. Accounts for absences. Maintains documentation for payroll, paid-time-off, and absences.
  • Processes student hourly payroll, prepares timecards, and verifies proper accounts to be charged.
  • Performs a variety of support such as tabulating, compiling, and distributing data; organizing and maintaining files, typing (keyboarding) documents and correspondence, and facilitating communications.
  • Maintains currency of knowledge and skills related to the duties and responsibilities.
  • Performs other related duties as assigned

    Minimum Qualifications
    Education and Experience
    The position requires a high school diploma or the equivalent, and four years of event planning/hospitality experience and general clerical and keyboarding experience in a student service oriented environment. Additional post-secondary education may substitute for some experience.

    Preferred Qualifications
    Associate's degree and 2 years of experience in student programming or government advising/administrative support OR Bachelor's degree and 1 year of experience in student programming or government advising/administrative support. Experience with social media to promote information and events. Experience working directly with students in facilitating events/programming or student government processes.

    Supplemental Information
    Knowledge and Skills
    The position requires working knowledge of event planning, including the steps, lead times, hospitality, and logistics. Requires knowledge of the procedures, practices, and rules associated with student government. Requires working knowledge of office practices, procedures and equipment, including filing systems, receptionist and telephone techniques, and letter and report writing. Requires a working knowledge of the procedures used in financial record keeping, budget, purchasing, and payroll transaction processing, and statistical record keeping. Requires a working knowledge of personal computer-based software programs that support this level of work, including but not limited to word processing, spreadsheet, presentation graphics, and specialized database software used in education. Requires business mathematics skills to compute sums and statistics. Requires sufficient skills using the English language, grammar, spelling, punctuation, proofreading, editing, to prepare original correspondence. Requires sufficient human relations skills to orient and train others, convey technical information to others, and use sensitivity in dealing with a diverse population.

    Abilities
    Must be able to learn, interpret, explain, and apply knowledge of College and department organization, operations, programs, functions, and special department terminology when performing assignments. Requires the ability to set up and sequence steps for event production. Requires the ability to prepare financial summaries. Requires the ability to prepare presentation quality charts, written materials, and spreadsheets. Requires the ability to operate standard office machines and equipment, including typewriters, switchboards, copiers, calculators, word processors, printers etc. Must be able to maintain records and prepare reports. Requires the ability to maintain confidentiality of private and sensitive information. Requires the ability to communicate with peers and other College staff or public in a manner reflecting positively on the department and College.

    Physical Abilities
    Must be able to function indoors engaged in work of primarily a sedentary nature. Requires the ability to use near vision to write and to read printed materials and computer screens. Requires the ability to use hearing and speech for ordinary and telephonic conversation and to hear sound prompts from equipment. Requires ambulatory ability to sit, often for long periods of time, move about campus locations, and to reach work materials. Requires manual and finger dexterity to type/keyboard and/or operate mouse and/or otherwise operate a microcomputer and other equipment.
    Licenses and Certificates May require a valid driver's license. Working Conditions Work is performed indoors where minimal safety considerations exist.

    Salary/Fringe Benefits

    Grade 31 on District Classified Salary Schedule ($4,240.61 -$5,087.21/month).

    Health and welfare benefits include District contribution for medical/dental/vision benefits and employee life insurance ($50,000). (Cash in lieu option available on medical insurance.)

    Participation in the Public Employee's Retirement System that is also integrated with Social Security.

    Conditions of Employment
    This is a full-time, 12-calendar month classified position
    Hours of employment are 10:30 a.m. to 7:00 p.m. Monday thru Friday
    Initial placement of employees on Classified Salary schedule is at Step 1. After six months of successful probationary employment, employee is placed at Step 2.
    Employment is to be effective as soon as possible following completion of the selection process.

    Individual who is offered employment shall be required to obtain fingerprints for a criminal history clearance through the State Department of Justice and remit the required fee for processing the fingerprints, Federal Bureau of Investigation (no fee if obtained at Cerritos College Campus Police Station), produce an original social security card, and submit negative TB test results (must be within the past four years or within the last 60 days if not previously employed in a school district in California) before employment.

    Effective January 3, 2022, Board Policy 2905 will require mandatory COVID-19 vaccinations as a condition of employment.
