Job Summary/Basic Function:

PRIMARY PURPOSE :
This position will assist the Controller with the overall management of the Finance Office. The position will be responsible for training, developing, and coordinating the work efforts of the accounting staff. Keep current on emerging issues related to external governing agencies ( FABS and IRS ). Ensure that all financial transactions are recorded according to generally accepted accounting principles. Additionally, this position will ensure the accuracy of the general accounting activities/functions in the Finance office.

ESSENTIAL JOB FUNCTIONS :
  • Supervise the accounting staff by overseeing their day-to-day activities.
  • Review the work prepared by the accounting staff, including: monthly investment performance and investment entries, monthly stock gift and gift feed reconciliations, quarterly pledge roll forward worksheet, monthly debt worksheets, monthly bank reconciliations, monthly receivables worksheets, fixed assets and lease worksheets and planned gift worksheets.
  • Serve as the main liaison for gift activity, working with the senior accountant to ensure that gifts and pledges are processed appropriately.
  • Review gift and pledge documentation for significant gifts and prepare the monthly gift holding account reconciliation.
  • Serve as the main liaison for credit card processing.
  • Maintain the fixed asset database in SAGE and work with the staff accountant to coordinate the bi-annual fixed asset equipment inventory.
  • Act as a liaison for the external auditors during interim and the year-end audit.
  • Assist in drafting the college’s financial statements and footnotes.
  • Coordinate the preparation/prepare audit schedules for key general ledger accounts.
  • Prepare the worksheets supporting the college’s tax returns including the 990, 990-T, MA Form PC and M990-T.
  • Assist the controller in preparing responses to survey requests from external and internal requestors.
  • Responsible for compiling the support for the Federal Indirect Cost Rate Proposal every three years.
  • Provide support for internal audit as needed.
  • Provide support to the Board of Trustee Audit Committee and Investment Committee as needed including review or preparation of materials, drafting of minutes and maintenance of respective websites.
  • Perform other duties, as assigned, which meet the operational needs of the Office of Accounting Services.

SUPERVISORY RESPONSIBILITIES :

Supervise staff in the areas of investments, grants and general accounting.

REQUIRED KNOWLEDGE, SKILLS AND ABILITIES :

Individuals must possess or be able to explain and demonstrate that the individual can perform the essential functions of the job, with or without reasonable accommodation, using some other combination of skills and abilities.

Ø Knowledge of generally accepted accounting principles used by colleges and universities.
Ø Knowledge of advanced accounting practices, including tax compliance, debt compliance and accounting for investments.
Ø Strong commitment to continuous process improvement and customer service.
Ø As an individual and as a member of a team, ability to understand and solve multi-dimensional problems through system analysis and collaboration with others.
Ø High level expertise in personal computer usage for spread sheet analysis of financial projects including Excel, Word, Banner and the Web.
Ø Experience with fully integrated computer/network systems.

Minimum Qualifications:

Education/Experience – Bachelor’s Degree in Accounting or other business related field. A minimum of five years of progressive experience in higher education financial accounting.

Preferred Qualifications:

A licensed CPA or MBA is highly preferred.
Experience with Banner or a similar administrative computing system is a plus.
