Summary

Dumbarton Oaks Research Library and Collection is an institute in Washington, D.C., affiliated with Harvard University. It supports research and learning internationally in Byzantine, Garden and Landscape, and Pre-Columbian studies through residential fellowships and internships, scholarly meetings, and exhibitions. Located in residential Georgetown, Dumbarton Oaks welcomes scholars at all career stages who conduct research in the institute’s exceptional library, rare book and museum collections, and historic gardens. 

The fellowship program is at the heart of the Dumbarton Oaks mission. Recently, Dumbarton Oaks has launched new programs, including summer internships in the humanities for Harvard undergraduates and innovative early-career appointments for academic professionals that bridge research, teaching, and work on institutional projects. 

The Manager of Academic Programs will handle all aspects of the academic programs at Dumbarton Oaks, in close collaboration with the Executive Director. This is an opportunity for a creative, meticulous, and motivated individual to contribute to the scholarly mission of Dumbarton Oaks as ‘home of the
humanities.’ 

Duties and Responsibilities

  • Manages all aspects of the academic programs including fellowships and internships.
  • Handles applications, housing and office allocations, offers, orientations, and day-to-day administration.
  • Prepares the annual budget for the academic programs. Reviews and monitors expenditures in areas of responsibility.
  • Handles all visa (SEVIS) and ITIN applications for academic awards.
  • Develops, recommends, and enforces policies and procedures for academic programs in compliance with Dumbarton Oaks as well as University guidelines.
  • Works closely with Finances on policy matters regarding scholars’ medical insurance, stipend payments, and travel reimbursements.
  • Assesses programs through application statistics, evaluations, and research into other institutions. Makes recommendations for changes to improve workflows and enhance implementation and outreach.
  • Creates publicity materials and recommends outreach strategies locally, at Harvard, and internationally.
  • Performs other duties as required.

*Typical Core Duties

  • Develop and implement programs to enhance the quality of the student experience; manage processes, outreach, content and finances
  • Act as a primary advising resource for students and faculty program requirements, academic degree progress, leaves of absence, cross-registration, adviser selection, and quality of life
  • Manage events and conferences including developing content, structure, and publicity, coordinating with other Harvard offices and groups, and managing logistical details
  • Advise student organizations on a variety of matters including risk reduction strategies, safe alcohol management, budgeting and goal setting
  • Produce and analyze reports to analyze program and event data
  • May determine accessibility eligibility and promote available resources and available options
  • May work with the Title IX office on best practices and coordination of the University’s overall response to Title IX issues
  • Develop and implement comprehensive event management training programs for student organization leaders
  • Interpret and clarify local and University policies and procedures for student leaders
  • Ensure compliance with University policies and procedures and applicable legal rules and regulations

Qualifications

Basic

Bachelor’s degree or equivalent work experience required. Minimum of 5 years relevant work experience

Additional Qualifications

Master's degree. Ability to collaborate effectively across departments, professionalism, and excellent verbal and written communication skills. Budget and J visa processing experience. Experience with international fellowship/student program administration.
