Position Summary

The Office Coordinator is responsible for: providing elevated administrative support and coordination for multiple CAS Departmental Offices. The position requires a commitment to providing high levels of service, effective communication skills, the ability to exercise good judgment in a variety of situations, and exceptional organizational and administrative skills. The Office Coordinator serves as a liaison among the CAS Dean’s Office, department chairs, other administrative staff and is responsible for delegating tasks and supervising administrative support staff and student workers.

Essential Job Functions of Position

The Office Coordinator is responsible for building and maintaining excellent professional working relationships with all university and community members, must have a commitment to equal opportunity and working with diverse populations, and must maintain confidentiality and use sound judgment and discretion, observing all privacy regulations per federal (e.g., FERPA, HIPAA ), state, and university requirements.

Provides supervision and administrative support of the departmental offices and other administrative staff to maximize employee performance and facilitate professional growth. Maintains a healthy, fair, and inclusive work environment by promoting diversity, exercising teamwork and collaboration. Actively promotes a professional workplace culture of mutual respect and collegiality for all members of the institution and works with staff to make the office an enjoyable, pleasant place to visit and work.

Transfers decision-making authority and responsibility to staff when appropriate. Provides employees with opportunities for training and education. Allocates the appropriate resources to allow employees to do their jobs. Creates an environment that contributes to the sharing of information. Recognizes and celebrates the success of the operation and staff.

Assists chairs in the completion of administrative tasks. Supervises and assigns the work of support staff to ensure deadlines are met and work is completed in a professional manner. Serves as backup for support staff as needed.

Establishes, communicates and monitors service standards of staff, to maintain high-quality customer service, creativity, and innovation. Supports performance standards established by chairs and deans. Reviews and evaluates staff on an annual basis. Sets performance and personal development goals for staff. Provides feedback to recognize and reinforce high levels of performance or to initiate changes when performance does not meet established standards. Identifies training needs. Determines the most effective and appropriate methods for training. May provide group or individual training to ensure understanding of policies and procedures in support of ongoing professional development of Department staff.

Works with other university staff to initiate recruitments as positions become vacant. Recommends hire, discipline and other personnel-related actions to the dean to address and resolve personnel issues related to staff supervised.

Formulates or assists in the development of policies and procedures working closely with the chairs and deans. Answers procedural questions and requests for information. Interprets existing policies and procedures relative to specific situations and provides directions accordingly.

Supports chairs, faculty, staff, and students; makes appropriate referrals.

Explores new processes and technologies that will deliver viable solutions to meet or exceed the University’s expectations. Upgrades when new solutions prove to be productive and will add value to the organization.

Assists with reports by collecting data, performing data entry and analysis.

Assists with providing general administrative support to the designated office (e.g. general correspondence, reports, calendar management, receptionist tasks, meetings and event planning, taking minutes at meetings upon request, OOE budget, purchasing, supervision of assigned workers and responding to general inquiries.)

Perform additional job-related duties as assigned or as appropriate.

Non-Essential Job Functions of Position

Education and Experience

Bachelor’s degree or a combination of post-secondary education and additional administrative support experience equivalent to a degree.

Preferred: Supervisory and training experience. Three years related experience working in a higher education environment.

Knowledge, Skills & Abilities

Demonstrated effective interpersonal and customer service skills.

Proven ability to manage multiple projects and establish planning processes and priorities.

Effective communication skills. Highly organized and detail-oriented.

Proven ability to maintain confidentiality.

Effective computer skills with a high degree of proficiency in Microsoft Excel, Word, Outlook, and PowerPoint programs.

Possess a willingness to undertake new projects, with the ability to work with minimal supervision, and be a team player.

Preferred: Experience using Ellucian Banner or similar enterprise resource planning ( ERP ) systems for higher education institutions.

Advertised Pay

$16.70 per hour with potential for a higher entry rate commensurate with experience and qualifications
