Job Summary

Plans and executes special events, activities and projects for the University. Supervises the Conference and Event Services team to create and execute events that will enhance the University’s reputation and relevance in the on-campus and in the greater Elmhurst community.

Essential Functions
  • Manages the Conference and Event Services team to facilitate high level events and experiences.
  • Researches, plans and executes special events for the University.
  • Coordinates logistics for special events, activities and programs including vendor management.
  • Maintains effective communication with employees, campus partners, and external constituencies.
  • Collaborates with all event stakeholders and synthesizes that information into a cohesive vision and plan for event logistics and aesthetics.
  • Maintains the department budget, ensuring fiscal responsibility.
  • Manages inventory of supplies for events, including but not limited to, furnishings, décor, and supplies.
  • Functions in a host role at select events as needed.
  • Serve as liaison between various campus partners to ensure effective collaboration between all areas participating in events.

Minimum Qualifications
  • Strong managerial and organizational skills with keen attention to detail.
  • Ability to communicate well with staff, trustees, and other key individuals and volunteers.
  • Ability to work on multiple projects and meet specific deadlines, work independently and in teams, and set priorities based on workload.
  • Ability to create functional and aesthetically pleasing designs.
  • Experience working with and/or knowledge of independent higher education and management.
  • Previous experience with budget management desired.
  • Excellent written and verbal communication skills and computer proficiency are required.
  • Flexibility to work frequent evenings and weekends required.
  • Ability to perform physical tasks including some lifting, climbing stairs and walking.
  • Excellent social skills and friendly personality highly desired.
  • Adept at active listening to obtain and document key information.
Preferred Qualifications
  • Bachelor degree.
Working Conditions/Physical Requirements

Employee is subject to indoor work, protected from weather conditions. Work is sedentary in nature and involves exerting up to 10 lbs. of force occasionally and/or a negligible amount of force frequently/constantly in order to lift, carry, push, pull or otherwise move object.

Work Hours

Flexibility to work frequent evenings and weekends is required.
