Job Description:

OFFICIAL TITLE: Staff Assistant for the Office of the President

SUPERVISION RECEIVED: Assistant Director, Special Assistant to the President and Liaison to the BOT

SUPERVISION EXERCISED: May supervise student employees, as assigned

General Statement of Duties: The Staff Assistant for the Office of the President is responsible for handling tasks pertinent to the internal and external relations of the President's office, and works towards the betterment of the campus community. The incumbent shall also address such other issues, as the President from time to time may direct. They will work with such other offices and units of the University as the President shall direct, including the respective offices of each vice president.

Responsibilities:

  1. (E) Oversees and manages the daily schedule of the President, prioritizing requests for meetings and appointments and maintaining the President's calendar insightfully and accurately, as well as assisting the other members of the President's Office with their schedules including but not limited to the Chief of Staff and General Counsel.
  2. (E) Coordinates all meeting arrangements, travel and other office-related activities for the President.
  3. (E) Supports the President and his executive team and attends and takes minutes for all Executive Cabinet Meetings.
  4. (E) Plans and manages special events hosted by the President, including but not limited to dinners (on campus or at the President's home), receptions and meetings.
  5. (E) Assists the office and the President with managing constructive relationships across the campus.
  6. (E) Coordinates IT related issues for the office.
  7. (E) Serves as the first staff point of contact for guests of the office.
  8. (E) Maintains a high level of confidentiality while conducting all aspects of work, at all times.
  9. (E) Provides general clerical, and organizational support for the Office of the President.
    1. Handles all incoming physical mail and email for President's Office accounts
    2. Maintains electronic and physical records and account information relevant to the office
    3. Maintains the office's master mailing lists
    4. Maintains the President's conference room (including reservations), file system and confidential files and communications
    5. Drafts and finalizes communications to internal and external constituents.
  10. (E) Assists President's Office in support of its works with the Board of Trustees; assists with logistics for board meetings; attends meetings as assigned.
  11. (E) Supports the Presidential Student Ambassador Program.
  12. (E) Demonstrates civility and professional, customer-service oriented behavior, worthy of emulation by other staff and students.
  13. (E) Responsible for contributing to the WSU Strategic Plan.
  14. (E) Responsible for contributing to Equal Opportunity/Affirmative Action objectives.
  15. Performs other duties as assigned.



Requirements:

Required Qualifications:
  • Bachelor's degree.
  • At least 3 years of professional experience relevant and suitable to fulfill the duties and responsibilities of the position.
  • Strong organizational and administrative skills including accuracy, efficiency, and proficiency in word processing and data management required.
  • Ability to articulate and communicate well with students, faculty, staff, and members of the community.
  • Strong written communication skills.
  • Ability to deal with constantly changing demands, frequent interruptions, and scheduling changes while remaining organized and seeing projects through to completion.
  • Ability to set priorities, establish limits.
  • Ability to work some evenings or weekends for special events and board meetings.
  • Strong computer and technical skills; proficiency in Microsoft Office Suite and Gmail with ability to learn new software programs with proficiency.
  • Ability to perform the essential functions of the position with or without reasonable accommodation.
  • Ability to successfully pass a thorough background check and CORI check.
Preferred Qualifications:
  • Prior professional work experience in higher education.
  • Familiarity with university budgetary systems and procedures.

Additional Information:

This is a full-time, benefited, exempt, non-unit, professional position. Duties are performed on-campus, within mostly traditional business hours and occasional evening or weekend hours for special events such as commencement. The firm salary range is $45,000 - $55,000 per year, commensurate with relevant professional experience and education. Worcester State University offers a competitive benefits package that includes:
