We are seeking aSenior Administrative Coordinatorwho provides administrative and project support and performs general office duties for, the Office of Graduate Clinical Education. The position requires significant collaboration and coordination with internal and external stakeholders. The incumbent will be required to develop a deep understanding of the various types of graduate clinical education training programs.

The position reports to the Academic Program Administrator, Office of Graduate Clinical Education, and provides administrative support to:

  • Senior Associate Dean for GME/Director of Graduate Clinical Education
  • Assistant Dean/Assistant Director of Graduate Clinical Education Graduate Clinical Education
  • Graduate Clinical Education Program Administrator

Specific Duties & Responsibilities:

Specific responsibilities include, but are not limited to:

  • Screening and responding to communications (including phone calls) to the Office of Graduate Clinical Education, demonstrating an understanding of the functions of the office and the individual to whom the calls should be directed
  • Managing electronic calendars for meetings, incoming and outgoing invitations and reminders, and frequent meeting requests
  • Requires the ability to make independent judgments based on an understanding of projects and priorities
  • Resolves scheduling conflicts and align the calendar with the changing priorities
  • Planning and executing events/functions, including workshops, conferences, and lectures. This includes preparations, set-up, and logistics; outreach/advertising; locating and reserving space; ensuring appropriate room set-up; securing A/V support; arranging for catering; etc.
  • Assisting with the review and processing of rotation agreements and appointment documents for resident and fellow rotators (approximately 30 individuals/month) from outside institutions to Johns Hopkins Hospital (JHH)
  • Serving as liaison with program directors of Allied Health Education internship and residency programs
  • Other duties as assigned

Minimum Qualifications(Mandatory):

  • High School Diploma/GED required,
  • Five (5) years progressively responsible administrative experience.
  • Additional education may substitute for experience to the extent permitted by the JHU equivalency formula*

* JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.

Special Knowledge, Skills & Abilities:

  • Demonstrated customer service approach
  • Proficiency with Microsoft Office suite (Word, Excel, Powerpoint, Outlook)
  • Demonstrated experience managing complex calendars
  • Demonstrated experience using Zoom or other online meeting platforms
  • Excellent verbal and interpersonal skills, including the ability to communicate effectively to all constituent groups
  • Excellent writing and editing skills, including the ability to draft original correspondence and edit documents with wide distribution
  • Proven ability to work with minimal supervision and to exercise independent judgment and discretion when making decisions on matters of significant impact and visibility

Starting Hourly Pay Rate Range:$20.02 - $27.51/hr (commensurate with experience)
