Job Description:

Under the supervisory direction of the Associate Vice President of Finance, the Director of Conference Services is responsible for marketing and recruiting clients as well as the overall coordination of the usage of College facilities and services for the Conference Center. The Director will develop and implement a marketing strategy that promotes the facilities and services of Curry College to potential clients that provide a strong net margin for the College. Additionally, the Director will coordinate the efforts and usage of facilities and supervise the summer staff to meet the needs of our clients and supervise the delivery of the summer conferences. The Director is responsible for the billing and financial reports associated with the Conference Services.  The Director is responsible for the scheduling, contracting, and billing of all conference and event functions. In addition, the Director will be responsible for scheduling the use of the conference rooms through the College's scheduling software including (but not limited to) the President's Dining Room, Parents' Lounge, Kennedy, Keith Auditorium, ARC, including related services, i.e., Building and Grounds, food services, etc. 

Essential Functions:

1. Develop and execute a business plan for maximizing the use of facilities and services to generate additional income for the College:

  • Create and manage the marketing program for of the College facilities and services used by external clients for summer camps/programs, conferences, seminars, and other events;
  • Establish annual budget reflecting expected costs, as well as anticipated revenues. Assist in the development of the pricing plan for external and internal clients for the use of available campus facilities and resources;
  • Establish and maintain client relations. Conduct site visits and tours. Meet, greet and provide support during events;
  • Design, negotiate and draft contracts. Create reporting systems and generate billing invoices;
  • Coordinate the booked summer conference business for the College. Work with Residence Life on the availability, use and needs of all residence areas. Work with the Registrar's Office and Athletics regarding use of classroom, gym and field space during the summer. Chair meetings related to the Conference Center;
  • Prepare and calculate financial reports including sales, receipts, purchase orders and billing.

2. Direct and coordinate services and activities to support the smooth business operations of Conference Services:

  • Coordinate support services with other Curry College departments to meet contract needs of clients.  Prepare catering requests (Sodexho), detail request (Campus Security), work orders (Building and Grounds), and purchase orders for outside vendors;
  • Oversee the billing and collecting of fees from all clients for space, equipment, food services, police services, and other related costs;
  • Recruit, select, train and assigns job duties to summer staff;
  • Create, implement and enforce policies and procedures for the use of facilities and services as necessary, including the distribution and collection of room keys and the creation of electronic I.D's with the support of the Student Affairs Division. Additionally, coordinates placement, collection and laundering of bedding and linens, as needed. 

3. Acts as chief scheduler for all meeting and function space throughout the academic year:

  • Oversee reservation system for conference and meeting rooms through the College scheduling software including the approval of reservations for the conference rooms on campus;
  • Assure set-ups, media, and food requests have been submitted by requestor;
  • Work with end-users to resolve conflicts when necessary;
  • Assure that Priority Events are given priority for scheduling each year.

Additional Functions:

  • Support the planning and coordinating of institutional events;
  • Work with the Associate Vice President for Student Affairs to plan and coordinate activities for Commencement and Convocation; Serve on Commencement Committee;
  • Perform other duties as assigned by supervisor.

 

Requirements:

Minimum Qualifications:

  • Bachelor's degree in hospitality/business related discipline.  
  • At least five (5) years of work experience in related field. Proficiency in Microsoft Word Intermediate and online platforms for sales.
  • Excellent communication and interpersonal skills as well as written and verbal communication skills.

Preferred Qualifications:

  • Experience in conferencing preferred as well as demonstrated ability in marketing and business generation.
