Brief Description of Duties

Incumbent serves and the Program Manager of the National Science Foundation (NSF) funded S-STEM Program within the Division of Sciences and Mathematics, College of Arts and Sciences. Under the supervision of the grant Principal Investigator (PI) the Program Manager has responsibility of coordinating the day-to-day office and program activities in the implementation of the S-STEM grant. The incumbent will assist in maintaining regular contact and communication with program students, faculty mentors, external research mentors, enrichment activity participants and perform other duties as needed. The Program Manager will coordinate student recruitment efforts and performs a myriad of coordination, administrative and management tasks to support the overall program operations ensuring high performance of the S-STEM Program.

Essential Duties and Responsibilities
  • Assist the PI with designing, and preparing digital and printed recruitment and retention materials for distribution and the program web page and newsletter; Co-leads the program recruitment efforts.
  • Serves as a program mentor, counselor and advisor for S-STEM students to ensure program progress and success and to remove obstacles to ensure student success; Co-leads the Journal Club.
  • Tracks and monitors undergraduate participation to include monitoring students course of study and maintenance of required GPA; assigning students to research mentors and monitoring research hours; exposing students to the scientific community through attending, participating and making presentations at national scientific meetings and other scientific venues.
  • Coordinates the undergraduate summer research experience.
  • Provides full-scope coordination, scheduling and facilitation of required meetings, seminars, workshops and enrichment activities including but not limited to the grant Advisory Committee, S-STEM student cohort groups, worships and seminars; Coordination includes scheduling, communication, logistics, etc.
  • Serves as the primary program communicator. Facilitates regular communications between faculty and student program participants and is responsible sending correspondence and distributing pertinent information to students and faculty.
  • Serves as the program’s data manager; Creates and maintains database to track student progress and vital information as required by the grant.
  • Supports and participates in the direct recruitment at area high schools to include actual high school visits; Meets with interested principals, counselors, and students.
  • Maintains and manages the office schedules (i.e. appointments with consultants, and event participants, NSF evaluators, etc.).
  • Prepares and submits annual reports on student outcomes as required by the grant; Assists PI with the preparation of S-STEM reporting.
  • Supervises any assigned student staff.
  • Performs other related duties as assigned.
Minimum Job Requirements
  • Master’s degree in a related field from an accredited college or university.
  • Demonstrated successful experience with program management
  • Understanding and thorough knowledge of the NSF S-STEM program organization, mission and goals, objectives, and the role of the PI.
  • Passion, sincere interest, and the ability to deal effectively with college students, faculty and professional staff; work cooperatively and harmoniously with diverse individuals; A good team member.
  • Proficient with technology applications, systems and software (i.e., Microsoft Office Suite); knowledge of Information Technology principles, concepts and methods (e.g., data storage).
  • Strong and effective written and verbal communication skills and abilities.
  • Highly organized, able to prioritize multiple items efficiently.
  • Experienced with the principals of sound office management and current office procedures, systems, and equipment.

Condition of Employment:
This is a sponsored program appointment. The duration of this appointment is subject to grant fund availability.

Collective Bargaining Unit (Non-Union): This position is not in the collective bargaining unit.
