Designated an R1 research institution, UWM educates more than 26,000 students and is an engine for innovation in southeastern Wisconsin.

Job Summary
The University Conference Coordinator serves a widely diverse population of student and non-student groups encompassing small meetings as well as large-scale productions involving multiple physical, personnel, and technological needs. Working with both the campus community and the general public, the incumbent assists in planning 14,000 bookings a year for campus facilities, including the UWM Student Union and other university properties. The incumbent facilitates the scheduling and contracting of facilities, interprets complex policies and regulations for the use of facilities, and assists in coordinating the efforts of other service providers. The incumbent also administers the event ticketing system and oversees the University Information Center.

Because of the complexity of the operation, the incumbent must be able to perform a wide variety of professional duties, including a significant amount of event planning and coordination which include client meetings, event design, resource scheduling/coordination, and operational supervision. This position requires a welcoming and inclusive work style, as well as flexibility, initiative, patience, supervision of student employees, and the ability to problem-solve independently. The normal work shift is from 8:00 a.m. to 4:30 p.m., Monday through Friday. However, this position will from time to time require night and/or weekend hours.

Minimum Qualifications
Qualified candidates will possess the following:
  1. Two or more years work experience in an office environment
  2. Two or more years of work experience with common business productivity software and applications (e.g. MS Office Suite, email, internet)
  3. Two or more years of work experience with event planning procedures including set-up and coordination
  4. Two or more years of customer service experience including addressing customer requests, concerns and/or input.


Preferred Qualifications
Well-qualified candidates will possess the following:
  1. Bachelor’s degree or higher, preferably in a business or events discipline
  2. Evidence of excellent organizational skills and the ability to manage multiple projects and deadlines
  3. Experience with event management/scheduling software (EMS, Ad Astra, Live 25, Mazévo) or equivalent
  4. Experience mentoring student employees
  5. Two or more years of work experience with event planning in a higher education environment
