Responsibilities
The Student Success Office coordinator provides administrative support and coordination for programs and initiatives of The Advising Office (TAO), Student Engagement and Academic Success (SEAS), Student Disabilities Services (SDS), the High Potential program (HP), and the Equity & Access group.

Within the Student Success Office in Filippi Hall, the coordinator oversees administrative functions including hiring, managing and developing the student workers; monitoring the Retention Alert system; and supporting other initiatives, events, and projects of the Student Success departments in collaboration with the appropriate (Assistant/Associate) Director.

In addition to routine administrative support functions (e.g. events calendars, promotional materials, and processing accounts payable and student payroll), the coordinator organizes the semi-annual work of the Academic Probation Review Board, Project Success, and the Lamont Madden Book Fund. The coordinator also supports the Catalog Manager with Digiarc (curriculog and acalog) as needed.

1. OFFICE MANAGEMENT AND FRONTLINE CUSTOMER SERVICE
-Manage the Student Success Office suite in Filippi Hall, including work orders, IT and other internal office tickets, service contracts, supply orders, and communications (phone, voicemail, post office).
-Serves as the secondary (after the student worker) customer service and first point of contact for Student Success Office suite (Filippi Hall); answers faculty, student and visitor inquiries regarding resources and processes; forwards questions on to appropriate individuals.
-Handle complex and confidential student information, and sensitively address issues with students, family members, visitors, faculty and staff.
-Models highest standards of student-centered Lasallian values and commitment to equity, access, cultural competency, and student retention and success.
-Contributes to continuous process improvement by maintaining an ongoing feedback loop with the directors regarding faculty, staff, student and visitor customer experiences.

2. ADMINISTRATIVE AND LOGISTICAL SUPPORT
Provide administrative support to the Student Success departments (TAO, SEAS, HP, SDS) and their directors (including associate and assistant directors).
Routine Responsibilities:
-support the Assistant to the VPSA to coordinate events such as retreats and workshops, including scheduling, catering, requesting electronic/media support, and other logistics to ensure events run smoothly and achieve goals.
-organize and maintain physical and electronic filing systems as needed.
-process updates and edits to the website, college events calendar, and news communications as directed.
-handling all Accounts Payable processes, such as handling all of the paperwork and contracts when setting up new vendors, creating POs, and processing expense reimbursements from staff and faculty (e.g. FYAC activities, professional development expenses, endowed funds).
-maintain office and event supplies; order technology, printing, office supplies as requested by departments; manage cost-sharing across departments.
-Support Project Success and the Academic Probation Review Board (APRB): get reports, organize files, create schedules, keep and file records, track escalation or resolution of cases.
-Support College Catalog manager in maintaining Acalog and Curriculog process.
Events and Seasonal Responsibilities:
-New Student Onboarding, Pre-Enrollment (TAO), Orientation, PREP program, and Weekend of Welcome; Add/Drop intake; department events.
-Support the coordination of events, logistics, and resources for the High Potential Program including Summer Academic Institute for Leaders and Scholars. -Coordinate the Lamont Madden Book Fund distribution and receiving of applications and books in collaboration with internal (e.g. Collegiate Seminar program, student applicants, and the High Potential program) and external departments and resources (book ordering sites) to facilitate the application and distribution of books and scholarships each term.

3. HIRE, MANAGE AND DEVELOP STUDENT EMPLOYEES
-Coordinates the administrative support fulfilled by student employees for the Student Success Office and its departments and services.
-Recruit and hire student workers, including event attendance, promotional materials, and interviews.
-Student Training and Development: Effectively supervise, train, and develop student employees.
-Supervise daily functions and schedules for student workers, including learning goals, evaluate performance, and ensure academic success.
-Manage student payroll.

4. PROFESSIONAL DEVELOPMENT
-Attend training and workshops on-campus or externally, which are required or recommended for frontline staff interacting with students as a supervisor and in office reception.
-Explore opportunities for personal and professional growth, such as serving on committees or participating in training and experiences that fall outside this position but may build related competencies and skills, or a broader range of experience and cross-training needed to pursue future opportunities.

Experience and Qualifications
QUALIFICATIONS:

Education: REQUIRED: PREFERRED:

Experience: (years required and applicable field of experience): academic student support services experience in higher education or a similar setting.

Skills/Abilities: (e.g. computer skills, written & verbal skills, trades, laws, procedures, technical) Extensive knowledge of Microsoft Office programs, including Word, Excel, Access, Power Point, and Publisher required. Prefer experience with Adobe Creative Cloud, Salli, Datatel, Informer, and calendaring systems. Requires excellent communication skills, including verbal and written.

Licenses & Certifications (e.g. CPA, RN, etc.): REQUIRED: N/A PREFERRED: N/A

Other Requirements: (e.g. travel, weekend/evening work) Must be available some nights and weekends.
