Provide comprehensive executive-level professional support to the Assistant Dean of Advancement and External Affairs, serving in a highly confidential area using discretion and independent judgement. This position will serve as the initial point of contact and liaison with all levels of the College and University communities, as well as external contacts including major gift donors and distinguished guests. Executive-level administrative support:
  • Understand and support the overall goals and objectives set by the Assistant Dean of Advancement and External Affairs and the Dean of the College of Law for the critical areas of alumni affairs, advancement and development, marketing, and communications.
  • Provides comprehensive administrative coordination in a confidential and sensitive area, using discretion and independent judgement.
  • Ensure all administrative functions, processes, and objectives are initiated, carried out successfully, and completed. Develops and implements measures to increase efficiency and effectiveness in the efforts of the department.
  • Responsible for managing the complex meeting and travel schedule of the Assistant Dean to best utilize their time and the college’s resources. Independently prioritizes, plans, and responds to meetings and schedules both on campus and around the country, ensuring that the Assistant Dean and Dean are fully prepared for all meetings with alumni, donors, and partners.
  • Completes all pre- and post-travel requirements, including expense reports, reconciling credit cards, and updating operating and restricted budgets according to University policy.
  • Provides administrative support to other staff in the Advancement and External Affairs department.
Communication:
  • Serves as an initial point of contact and liaison, in person, on phone, and by email, to all levels of the College, University, and external community.
  • Initiates and drafts correspondence and materials for events, meetings, and communications. Prepares and/or edits presentations and reports.
  • Provides all relevant information to Assistant Dean and Dean for meetings with alumni, current and potential donors, and partners.
Events:
  • Provides leadership and professional expertise to direct the planning and execution of events and functions, both on and off campus, that advance the College’s goals and priorities.
  • Functions as the staff lead on major and public-facing events such as Law Alumni Weekend and Class Act annually. This includes advance planning of all logistics (space, travel, speakers, IT/AV needs, catering, timelines, marketing, and recruiting and training student volunteers and employees).
  • Manages event budgets, working with Finance staff to project costs and income for production, technical, and promotional needs. Provides reports to Assistant Dean and the Assistant Dean of Finance and Administration for each event, and coordinates event budget planning for the following year.

Projects:
  • Exercise initiative, independent judgement, and tact in executing special projects as assigned by the Assistant Dean, including providing support in highly confidential areas. Uses well-developed problem solving skills to anticipate, prevent, and resolve issues independently.
Collaboration:
  • Works with other College departments and units to ensure smooth and efficient planning and coordination of events, distinguished visitors, and current and prospective donors.
  • Provides information and leadership to other College departments in areas of event planning and logistics, alumni, gifts and restricted funds.
  • Active participant in College committees and efforts to increase departmental communication, cooperation, and efficiency.
