Position Summary

Under limited supervision of School of Music Director, the Administrative Support Coordinator II assists with implementation of course schedule including gathering and preparation of materials, documents, and reports relating to program review, workloads, and class scheduling. The incumbent is responsible for the coordination and processing of staff and faculty employment contracts as well as Graduate Assistants, Teaching Assistants, Instructional Student Assistants, and Work Study Students. This position will provide support to the Director of School of Music and maintain confidential files. The incumbent is expected to work under pressure with frequent interruptions while prioritizing assignments to meet deadlines.

FLSA: Non-Exempt

CSU Classification Salary Range: $3,352 - $5,639 per month

Hiring Range: $3,440 - $3,800 per month

Recruitment Type: Regular (probationary)

Time Base: Full-Time

Pay Plan: 12 month

Work Hours: Monday-Friday, 8 a.m. - 5 p.m.

Department Information

The School of Music at Sacramento State offers the rigorous study more commonly associated with prestigious conservatories, alongside an outstanding liberal arts education. We offer the Bachelor of Arts degree in Music; Bachelor of Music degrees in seven concentrations (Instrumental, Keyboard, Voice, Theory/Composition, Music Education, Jazz Studies, and Jazz Education); the Master of Music degree in conducting, composition, or performance concentrations; the Minor in Music; and the Performer's Certificate. With all of its degree programs fully accredited by the National Association of Schools of Music, the Sacramento State School of Music has developed a regional and national reputation for the high quality of its faculty and the superior achievements of its students and performing ensembles. We have over 300 music students and nearly 60 faculty members (full-time and part-time), with a 6:1 student/faculty ratio. Each year the School of Music presents a large number of performances to the campus and the greater Sacramento area. These include concerts by the concert band, symphonic wind ensemble, orchestra, jazz ensembles, three choirs, and opera workshop. For over 40 years, the Festival of New American Music has been an important part of the music scene in the United States. Other concerts are part of the Piano Series, the New Millennium Series, and the World Music Series. Several music faculty have written textbooks; a number of them are composers with numerous performances to their credit; others perform frequently nationally and internationally.

Minimum Qualifications
Entry to this classification requires a fully functional knowledge of and skill in standard office procedures and practices, as well as an ability to understand and operate in a variety of organizational structures. Additionally, incumbents are expected to have a thorough knowledge of English grammar, spelling, and punctuation and be able to clearly communicate orally and in writing. Some positions may require a knowledge of business mathematics beyond basic arithmetic. The ability to use and quickly learn new office support technology systems and software packages is also a prerequisite. These entry qualifications would normally be obtained through a high school program, technical/vocational program, or their equivalents combined with several years of related office work experience.
Required Qualifications
1. Comprehensive and detailed knowledge of university infrastructure, policies and procedures working with multiple departments and levels. 2. Thorough mastery of English grammar, punctuation, and spelling. 3. Strong written and oral communication skills. 4. Expertise in using software packages, office technology and systems. 5. Ability to interpret and apply policies and procedures independently, and use judgement and discretion to act when precedents do not exist. 6. Ability to troubleshoot most office administration problems and respond to all inquiries and requests related to work area. 7. Ability to complete large scale and complex projects with longer work cycles: initiation, execution, coordination, and evaluation. 8. Ability to evaluate and make independent decisions about day to day operations. 9. Experience in training and oversight of employees. 10. Continual analysis of operations and procedures to develop recommendations for changes and updates with the department, school and campus. 11. Experience using business math and making accurate projections. 12. Ability to effectively organize, multitask, communicate policies and procedures to others. 13. Ability to effectively handle interpersonal interactions at all levels and handle highly sensitive interpersonal situations, employing negotiation and persuasion skills to achieve results and expedite projects.
Preferred Qualifications

14. Ability to use CMS, CFS, Cognos, and ASTRA.

15 . Experience in academic schedule building.
