Whitman seeks to hire a Printing and Mailing Manager for the Communications Office. The Manager helps facilitate the mailings of all communications to every audience that the college interacts with, including current and prospective students, faculty, staff, alumni, parents and the Walla Walla community.

POSITION PURPOSE

The Communications Office, Printing and Mailing Manager oversees the day-to-day operations of the college's printing and mailing services department, oversees the daily operations of the college's post office, and provides support to ensure the smooth functioning of the office of communications.

PRINCIPAL ACCOUNTABILITIES
  1. Monitors and reconciles budgets for communications. Coordinates process for billing, bill-paying, purchasing and account reconciliation; reconciles monthly credit card statements for communications staff; provides current budget/expenses data and other financial reports as directed. Researches and recommends opportunities for cost savings.
  2. Oversees the day-to-day operations of printing and mailing services, a campus resource that offers a broad range of black-and-white and color digital printing services as well as first-class and bulk mailing and various package shipping services.
  3. Negotiates outsourced printing contracts and high-volume paper purchases.
  4. Supervises five staff: three in the post office, two in mailing services and one in printing services. Provides office coverage for printing and mailing as needed.
  5. Ensures accurate inter-campus billing and reconciliation for printing and mailing services. Recommends and coordinates outsourcing of print and mailing projects based on the best financial interests of the college.
  6. If needed, assists the vice president by taking meeting meetings, preparing materials and correspondence, coordinating key meetings and supporting travel arrangements.
  7. Greets visitors to the communications office and route to appropriate staff.
  8. Performs other duties as assigned.


REQUIRED KNOWLEDGE, SKILLS AND ABILITIES

Individuals must be able to explain and/or demonstrate that they possess the knowledge, skills and abilities to safely perform the essential functions of the job, with or without reasonable accommodation.

  1. Ability to effectively supervise employees
  2. Bookkeeping and office management skills
  3. Computer skills including Microsoft Word, Microsoft Excel, Google Drive, Google Calendar and Google Mail; ability to learn specialized department software
  4. Strong time management skills. Ability to work with speed and accuracy
  5. Communication skills necessary to relate well to and work effectively with communications staff, other staff, faculty, students and all other constituencies
  6. Ability to positively and actively contribute to the college's core values of diversity, equity and inclusion
  7. Flexibility and judgment for effective handling of sensitive issues, unforeseen emergencies and problems
  8. Ability to work in an open office setting with frequent interruptions from telephone calls and walk-in visitors


MINIMUM QUALIFICATIONS

Minimum of three years in office management or administrative support experience preferred. Bachelor's degree preferred.
