Job Summary

The Corporate and Executive Education team at Drexel’s LeBow College of Business creates dynamic, industry-aligned customized programming and executive-level degree programs that engages our network of students, alumni, participants, and partners. The Program Coordinator will play a central role in the success of the team, providing high-level administrative support in the areas of program logistics, operations, executive assistance, and client relationship management. This position requires good time management, dynamic organizational and communication skills, as well as excellent customer service.

Core responsibilities of this position include:
• Providing administrative support services to the team to ensure effective office operations, communciation dissemination, and resource allocation.
• Researching and participating in initiatives connected to the quality of program delivery and evaluation.
• Supporting program directors, managers in the execution of program delivery.
This is a full-time position. Tasks and responsibilities of this position may require occasional evening or weekend hours, such as during program residencies or special events. A valid driver’s license and access to a car is highly encouraged.

Essential Functions
  • 1. Program and Operational Support
    a. Coordinate instructional materials needed for student programs.
    b. Schedule catering, room reservations, hotel accommodations, and parking for on-campus programs.
    c. Assist with quarterly student registration.
    d. Coordinate and schedule bi-annual faculty meetings for degree programs.

    2. Residency Support and Coordination
    a. Support program directors and managers with the execution of on-campus degree and non-degree program residencies and client meetings.
    b. Serve as the point of contact for students, participants, faculty, and other constituents during weekend on-campus programming, to ensure appropriate operational support and service.

    3. Executive Administration and Support
    a. Support scheduling and meeting coordination for Associate Dean and other duties as assigned.
    b. Greet visitors and guests to the Executive Education suite, staffing the department’s front desk.
    c. Maintain corporate and executive education team operations calendar.
    d. Organize and maintain inventory of office supplies and Executive Lounge.
    e. Reconcile credit card charges and expenditures to appropriate accounts, maintain receipts, obtain appropriate signatures, and process monthly purchasing card reports.

    4. Assist with Recruitment and Engagement Initiatives
    a. Coordinate and schedule final interviews for applicants to executive degree programs.
    b. Support Director of Recruitment with information sessions, reporting, and follow-up activities.
    c. Assist program managers during alumni events and Board meetings.
    d. Support other Corporate and Executive Education initiatives and events as assigned/requested
Required Qualifications
  • Associates Degree (or higher) required.
  • 3-5 years of high-level customer support in a service organization
  • Willingness to work flexible hours and weekends in support of program delivery.
  • Ability to organize and manage multiple projects simultaneously under deadline pressure.
  • Strong attention to detail.
  • Knowledge of Microsoft Office products, especially Excel.
  • Effective written and verbal communication skills.
  • Strong interpersonal skills with the ability to build collaborative relationships with campus partners.
Preferred Qualifications

• Bachelor’s degree
• Knowledge of academic information systems such as DegreeWorks, Banner, Hyperion etc.
• Experience using design programs or software.
