PT Operations Coordinator – 19 hours per week
Reporting directly to the Director of Career Engagement and Director of Career Planning of the College of Arts and Sciences, the Operations Coordinator will work independently to provide administrative support.
BASIC FUNCTION:
Emphasis for this position is client services and front desk operations.
Serves as the point of first contact for all students looking to interact with the Career and Professional Development Office. Handles front desk coverage, general office and day-to-day operations. Assists with special projects/events offered through the Center, including Leadership and Professional Development programs, the CAS Guarantee and other events as necessary.
KNOWLEDGE AND SKILL NEEDED:
EDUCATION : Bachelor Degree Preferred
EXPERIENCE & SKILLS: Superb client services skills and problem solving abilities; proactive in assessing needs of the office and the Directors; comfortable interacting with diverse constituents; comfortable working independently and taking initiative; efficient with Microsoft Word, Excel, PowerPoint, Outlook. Knowledge of or willingness to learn Canva.
ESSENTIAL FUNCTIONS: Oversee the operations of the front desk to ensure quality service provided to students and guests. This includes:
1. Providing general administrative support such as fielding inquiries via email and telephone; greeting students and other visitors; scheduling counseling appointments and maintaining calendars for the staff in the Career and Professional Development Office, inclusive of follow up email reminders prior to student appointments.
2. Track student visits, events, workshops and Leadership and Professional Development Program participation using google docs, Excel and/or Engage
3. Follow protocol to administer CAS Internship Stipend and CAS Guarantee Program
4. Order and maintain office supplies; assess supply needs for major programs, projects, and mailings
5. Support Career and Professional Development staff in prepping for classes, and managing logistics for workshops, events, etc. This includes but not limited to the following:
7. Assist with assessment, annual reporting
8. Provide support for special projects and events such as Career Industry and Alumni Events, CAS Awards, and Campus Activities Fairs
9. Performs other related functions as requested
Salary: $20.45/hour
This position is based at Fairfield University’s Fairfield, CT campus.
