The Department of Physical Medicine & Rehabilitation is seeking a Senior Clinical Program Coordinator who will develop and manage relationships with assigned patients while coordinating their medical care at Johns Hopkins Medical Institutions. This role is responsible for the acceptance and scheduling for all assigned program patients, and coordinates care between all disciplines to ensure the seamless delivery of services. Proactively communicates and reports out on status of all active program participants.

Specific Duties & Responsibilities:

  • Coordinates schedules for a complex group of patients for multiple disciplines across different JHM locations, obtains prior authorizations as needed, assists in the resolution of insurance denials.
  • Triages patient phone calls and records received from referring providers including participating in on-call, after hours rotation schedule
  • Screens new patients using clinical criteria.
  • Manages relationships with high-end referral sources, and provides special services to a specific cohort of patients within Johns Hopkins Medicine.
  • Secures referrals for new patients as needed.
  • Maintains a patient database, tracking demographic and clinical data to produce weekly and monthly reports, and presentations.
  • Manages insurance/registration information, and carry out other related duties.
  • Coordinates the activities of a multi-faceted, high volume medical practice to ensure a smooth functioning office and good patient relations.
  • High level of analytical ability to gather and summarize data, coordinate multiple requests, and to remove routine obstacles to providing a superb patient care experience.
  • Resolves patient problems, third party issues, or refers patients to appropriate resources.
  • Serves as a primary point of contact for assigned clinical programs.
  • Creates as needed clinical documentation related to care, including fee estimates, self-pay agreements, private contracts, etc.
  • Provides periodic updates regarding assigned programs, to program stakeholders and departmental leadership.
  • Works with others in a team environment.
  • Perform miscellaneous related experience as assigned.

Minimum Qualifications (Mandatory):

  • High School Diploma/GED.
  • Three (3) years progressively responsible medical office experience.
  • Requires an understanding of changing reimbursement policies and third party reimbursement.
  • Medical terminology.
  • Additional education may be substituted for years of related experience.

* JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience.  For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.

Preferred Qualifications:

  • Bachelors Degree in Healthcare or related field strongly preferred.
  • Five years progressively responsible medical office experience.
  • Experience in the Johns Hopkins system strongly preferred.

Special Knowledge, Skills & Abilities:

Work involves a great deal of patient and family contact, which requires walking considerable distances throughout the hospital on a daily basis.

  • Intermediate computer and proofreading skills
  • Expected to learn the formal and informal departmental goals, standards, policies and procedures which include some familiarity of a number of departments within the School of Medicine. Is sensitive to the interrelationship of both people and functions within departments.
  • Experience with EPIC or successful completion of all related training courses
  • Strong organizational skills in coordinating medical care for a demanding population with high expectations
  • Ability to anticipate issues and prevent or minimize problems.
  • Ability to perform effectively despite sudden deadlines and changing priorities.
  • Ability to maintain personal composure in high stress situations.
  • Ability to successfully interact with both clinical and non-clinical members of the community
  • Ability to perform with a high degree of accuracy and with meticulous attention to detail
  • Ability to demonstrate self-direction and initiation. Ability to work independently and as a part of a team
  • Ability to handle multiple tasks in a dynamic environment
  • Strong organizational skills in coordinating medical care for a very high-end population with high expectations.
  • Advanced Proficiency in oral and written English.

Starting Hourly Pay Rate Range: $20.02 - $27.51/hr (commensurate with experience)
