Job Responsibilities:

The Citadel, The Military College of South Carolina is accepting applicants for an Administrative Assistant for the Departments of Mathematics and Physics. This position is responsible for assisting the Department Heads of Mathematical Sciences and Physics in establishing and implementing procedures and policies for the effective and efficient management (operation, scheduling, and planning) of Departments of Mathematical Sciences and Physics on a day-to-day basis.
  • In collaboration with Department Heads, implements properly college wide processes and procedures (such as faculty and student travels, job candidate interviews, student worker hiring) for the departments.
  • Assists with the collection of student data for academic departments, such as graduation, attrition, retention, and job placement.
  • Supports special projects for department heads.
  • Maintains electronic files; manages room reservations for assigned building and manages Kronos for student workers for the departments.
  • Supports on-campus recruitment and outreach programs, including open houses, virtual open houses, and mailed science engagement kits.
  • Assists with the scheduling of Spring, Summer (including CSI) and Fall classes for assigned departments. Keeps electronically an updated version of each schedule. Post updated schedule for each classroom and computer lab for both departments.
  • Assists Department Head in monitoring department account balances and completes financial transactions as requested; serves as Budget Liaison for department P-Card and Travel Card Holders and makes departmental purchases and purchases for.
  • Provides support for student organization meetings; including catering, room requests, and other logistics as necessary.
  • Supports the planning, coordination, and staffing of departmental events; such as the departmental award banquet, Pre-Knob visits, and others as requested.
  • Works with Commandant’s Office and other units on campus for coordination, planning, and scheduling of events, as well as placing special orders.
  • Provide support for local, domestic, and international student travel.
Minimum Qualifications:

Must have a Bachelor’s degree and previous administrative experience. Must have a strong knowledge of Microsoft Office Suites. Strong oral and written communication skills.
