Executive Assistant to the VP for Student Affairs (71101)

Location: Brooklyn, NY

The Vice President for Student Affairs is seeking an Executive Assistant with excellent administrative skills who is a self-directed, creative problem-solver with the ability to effectively communicate with members of the Pratt community, and senior leadership. The successful candidate will serve as a key partner for the vice president for student affairs providing high-level administrative and organizational support to the work of their office. The position will serve as an important point of contact and follow up for a wide range of audiences including trustees, faculty, staff, students, families, alumni, educators, and vendors. The executive assistant will oversee the daily operations of the office, maintain high standards of efficiency and professionalism, and assist the VP with the prioritization, management and assessment of projects and initiatives that cover 3 distinct campuses.

Our ideal candidate is someone who has excellent interpersonal, writing and project management skills with at least three years of experience working in an administrative and organizational support role, who can demonstrate the ability to maintain positive communications and working relationships with internal and external teams.

On a typical day you will be required to:
  • Serve as liaison to key academic and administrative offices across 3 campuses to provide and maintain positive relations, helpful communication, and the timely delivery of projects and initiatives
  • Supervise full-time staff office administrator and indirectly supervise student workers. Ensure successful management of the day-to-day operations of the vice president's office including creating and managing calendars and scheduling meetings, phone, email and walk-in traffic
  • Develop newsletter/emails for students and staff as well as social media content focused on the student experience. Write reports and prepare background materials, documentation, memoranda and reports.

Education: Bachelor’s Degree from a four-year accredited institution. (Exception possible for high school diploma with significant and extensive directly relevant work experience.)

Experience: Three to five years’ experience providing progressively responsible administrative and organizational support and/or other directly relevant and transferrable professional experience utilizing a high level of confidentiality and discretion is required. Experience supporting a senior executive and knowledge of higher education administration is preferred.

Required Skills: Excellent writing, organizational, interpersonal, and decision-making skills are essential. Must have the ability to foster a welcoming and inclusive environment, to work in a collaborative and transparent manner, and to use independent judgment and critical analytic thinking. A commitment to working in and promoting a culture of inclusion. An understanding of the important role of diversity, equity and inclusion in supporting students. An appreciation for the mission of higher education and an interest or background in the visual arts is helpful. Proficiency is required in the use of word processing, database and spreadsheet presentation, email and electronic calendar software.
