Class Description

The purpose of this class is to provide advanced level administrative support services to assigned department, school or division.

Minimum Requirements

High school diploma/GED and seven years related office experience or Associate’s Degree and five years related office experience; knowledge and experience using Microsoft Office applications; must complete and pass Microsoft testing modules which includes Word and Excel and demonstrate the ability to type 45 wpm; experience in higher education preferred. (Candidates with proof of current Microsoft Office Expert Specialist Certification do not need to test.)

Position currently located on the Catonsville Campus. However, this position will relocate to the Essex Campus sometime during the summer session.

Class Specific Essential Duties

  1. Assist and provide information to students, faculty, administrators and the college community in person and on the telephone.
  2. Assist with special projects, meetings and/or special events.
  3. Serve as liaison between department or program and other offices or organizations.
  4. Research, analyze and process data into college systems.
  5. Maintain records and files.
  6. Assist with area budget process.
  7. Compile reports, documents, forms and correspondence.
  8. Create and track check requests, requisitions, work orders and other request forms.
  9. Manage calendars for department personnel.
  10. Process and manage all relevant course, program and/or personnel paperwork.

Position Specific Essential Duties

  1. Assist and provide information to students, faculty, administrators and the College community in person and on the telephone.
  2. Serve as liaison between the Public Safety department and other offices or organizations, including Payroll and Human Resources.
  3. Assist with department’s budget development, management and support.
  4. Manage calendars for department personnel on all campuses.
  5. Responsible for managing the Time Clock Plus time-keeping systems for the department.
  6. Coordinates departmental training including obtaining rooms, equipment, food and supplies.
  7. Department’s liaison with the Maryland State Police, involving applications and renewals for Special Police Officers, fingerprinting, application fees and related materials.
  8. Purchasing for the department which includes; obtaining vendor quotes, price comparisons, inventory control, returns/adjustments.
  9. Reconciliation of P-Card Statements.
  10. Data collection and entry of crime statistics for the Annual Safety and Security Report (Clery).

The Roth 403(b) savings feature allows employees to contribute after-tax dollars and then withdraw tax-free dollars from their account upon retirement. The Roth 403(b) savings feature is only offered by the following vendors: TIAA-CREF and VOYA Financial Advisors, Inc. Adjunct Faculty, Part Time Associates and Full Time employees are eligible to save for retirement using the Roth 403(b) savings feature. Employees may contribute traditional pre-tax 403(b) dollars and Roth 403(b) post-tax dollars simultaneously. The savings limits are combined for the Traditional 403(b) and the Roth 403(b) contributions.
  • Deferred Compensation Plan — 457(b) offered through VOYA Financial Advisors, Inc. The 457(b) salary reduction authorization form is needed. The form is available on SharePoint Forms/Human Resources Forms.
Parking
Free. Must obtain a parking permit from the Department of Public Safety to use on all campuses.
