Position Summary

Under the lead work direction of the Associate Vice President, this position provides confidential administrative and analytical support to the AVP for University Development. The incumbent interacts professionally with high-ranking public officials, campus administrators, faculty, staff, alumni, donors and volunteers. The incumbent is responsible for providing support to the Associate Vice President, Directors of Development, and Development staff, including: calendar and schedule, travel arrangements, agenda and materials preparation, project team support for Development activities, database entries, draft correspondence, track and replenish materials, and other administrative support, as needed. This position provides general support to the Development Office, and also assists with staffing special events and donor/prospect engagement opportunities that support advancement goals and campus-wide initiatives.

FLSA: Non-Exempt

CSU Classification Salary Range: $ 3,352 - $ 5,639 monthly

Hiring Range: $3,352 - $4,100 monthly

Pay Plan: 12 months

Work Hours: Monday - Friday, 8am - 5pm. Some evenings or weekends may be required.

Minimum Qualifications

Entry to this classification requires a fully functional knowledge of and skill in standard office procedures and practices, as well as an ability to understand and operate in a variety of organizational structures. Additionally, incumbents are expected to have a thorough knowledge of English grammar, spelling, and punctuation and be able to clearly communicate orally and in writing. Some positions may require a knowledge of business mathematics beyond basic arithmetic. The ability to use and quickly learn new office support technology systems and software packages is also a prerequisite.

These entry qualifications would normally be obtained through a high school program, technical/vocational program, or their equivalents combined with several years of related office work experience.

Required Qualifications

1. Excellent written and oral communication skills, with thorough mastery of English grammar, punctuation and spelling.
2. Expertise in using office software packages, technology and systems (e.g. Microsoft Outlook, Word, Excel, Access, and PowerPoint).
3. Ability to interpret and apply policies and procedures independently, and use judgment and discretion to act when precedents do not exist.
4. Ability to troubleshoot most office administration problems and respond to all inquiries and requests related to work area.
5. Ability to understand problems from a broader perspective and anticipate the impact of office administration problems and solutions on other areas.
6. Ability to analyze operational and procedural problems and develop, recommend, and evaluate proposed solutions.
7. Ability to perform business math, analyze budgetary data, and make accurate projections requiring some inference.
8. Ability to effectively handle interpersonal interactions at all levels (e.g. campus community, donors, volunteers, alumni, high-ranking officials) and handle highly sensitive interpersonal situations.
9. Ability to use negotiation and persuasion skills to achieve results and expedite projects.
10. Working knowledge of financial record-keeping and procedures.
11. Ability to be self-motivated and work both independently and collaboratively.
12. Outstanding organizational and time management skills with the ability to coordinate multiple, simultaneous projects, and strict deadlines while producing accurate, detail-oriented results.
Work Schedule Requirements:
13. Ability to work occasional evenings and weekends.

Preferred Qualifications

14. Experience working in an institution of higher education, especially within University Advancement or University Development.
15. Experience with Advance, Reeher, and other fundraising databases.
16. Special events planning experience.
17. Experience with fundraising practices, including support for fundraising events or auctions, and general knowledge of philanthropy and stewardship.
18. Associate Degree or higher, fundraising certificate.

Required Licenses/Certifications

Preferred: Valid Driver License and maintenance of safe driving record.
