Job Description:

OFFICIAL TITLE: Staff Assistant, Assistant Accountant for University Advancement/Worcester State Foundation

SUPERVISION RECEIVED: Director of Advancement Services

SUPERVISION EXERCISED: May supervise student employees, as assigned

General Statement of Duties: The Staff Assistant, Assistant Accountant for University Advancement/Worcester State Foundation performs general accounting and support duties.

Responsibilities:

(E) = Essential

  1. (E) Assists in maintaining the Worcester State University Foundation chart of accounts and other financial records.
  2. (E) Assists senior accounting staff with reconciling WSU Foundation financial data each month.
  3. (E) Researches and resolves fund-related discrepancies or issues; communicates with involved parties accordingly.
  4. (E) Assists with preparing documentation for financial and compliance audits.
  5. (E) Provides support for Advancement Services in the areas of administrative assistance, database management, gift processing, accounting and tax receipting.
  6. (E) Tracks foundation-related activity including but not limited to opportunities, submissions, and outcomes for purposes of data analysis and record maintenance.
  7. (E) Assists with updates of all relevant data in Raiser's Edge and Financial Edge systems.
  8. (E) Assists with processing WSU Foundation donations.
  9. (E) Scans and indexes WSU Foundation financial data files.
  10. (E) Demonstrates civility and professional, customer-service oriented behavior, worthy of emulation by other staff and students.
  11. (E) Responsible for contributing to the WSU Strategic Plan.
  12. (E) Responsible for contributing to Equal Opportunity/Affirmative Action objectives.
  13. Performs other duties as assigned.



Requirements:

Required Qualifications:
  • Bachelor's degree in accounting
  • At least 1 - 3 years of relevant accounting experience (part-time and internship experience considered on a pro-rated basis)
  • Ability to interpret federal, state, and local laws, regulations, guidelines, policies and procedures for financial operations and accounting.
  • Strong computer skills; demonstrated experience with Microsoft Office Suite including Excel, Word, PowerPoint and Access.
  • Ability to work successfully both independently and as part of a team.
  • Ability to organize, analyze and report data.
  • Excellent oral and written communication skills; engages with others in a collegial and professional manner.
  • Ability to maintain complex records and files.
  • Ability to coordinate, prioritize and monitor projects to completion, often with competing deadlines.
  • Ability to maintain confidentiality and use professional judgment.
  • Ability to make complex decisions and problem-solve.
  • Ability to adapt to change.
Preferred Qualifications:
  • Experience with Colleague, Raiser's Edge, and Financial Edge database applications.

The firm annual salary range for this position is: $45,000 - $50,000. This is a benefited, full-time, exempt, APA position.
