Position Purpose

Serves as Executive Assistant to the Senior Vice President and Senior Diversity Officer in the Office of Institutional Diversity and Equity ( IDE ) managing complex schedule, overseeing projects, engaging with key stakeholders, and managing office operations. This role coordinates meeting preparation, including gathering and preparing meeting materials; staffs all boards, councils and committees associated with IDE . This position will be required to exercise considerable discretion and judgment in coordinating and responding to communications on behalf of the Senior Vice President and coordinating, supporting, and developing projects plans, program logistics, and managing event details. This person must be comfortable in a fast-paced office environment and demonstrate a high degree of professionalism. The person must be highly organized and able to act independently and in the best interest of the SVP / SDO .

Key Accountabilities

Description

Partners with the Senior Vice President on critical office functions and daily operations to support the work of Institutional Diversity and Equity. Represents the Senior Vice President to internal and external constituents in a professional manner and serves as the primary office contact for individuals seeking contact with the Senior Vice President. Conveys key issues, concerns, and time sensitive information to the Senior Vice President for appropriate attention and action. Anticipates and recognizes problems and/or issues and brings them to the attention of appropriate staff members. Supports the development and management of the department’s budget in consultation with the SVP and AVP . Develops, implements, and modifies office systems and administrative policies and procedures in support of the departments activities and responsibilities.

Description

Oversees the management of the Senior Vice President’s daily appointment calendar; assures reasonable agendas and expectations have been set and that the Senior Vice President is prepped for meetings and events. Assists with plans and arrangements for meetings, events, presentations, and significant travel and resolves any calendar conflicts. Briefs the Senior Vice President on changes in schedules and priorities in a timely manner. Creates meeting briefs for high level meetings hosted by IDE . Staffs all boards and councils associated with IDE and prepares and sends out meeting notes in a timely manner. Supervises accurate record of trip itineraries for local and global travel.

Description

Facilitates engagement with senior leadership, trustees, campus partners, student leaders, alumni, and external constituents and supports the work of the Senior Vice President. Previews and tracks correspondences from faculty, staff, students, and other campus partners in the shared SVP and department email box and obtains relevant background information to assist in crafting responses. Exercises considerable independent judgment in responding to requests for information by email or phone, replying for the Senior Vice President as needed in a timely, professional manner, and involving others within IDE when required. Coordinates arrangements for mailings or other communications from the Senior Vice President’s office. Prepares correspondence, memos, and reports for SVP and others. Able to use various office and cloud software to support SVP and work efficiently in the Dartmouth environment.

Description

Manages space and other building related issues, works with consultants by reviewing materials and documents for clarity and managing logistics of their visits and presentations, drafts presentations and manages a wide variety of logistics and events involving all college departments, professional associations and conferences.
