The Registrar’s Office at Auburn University at Montgomery is seeking a University Registrar. The University Registrar plays a critical role in the University and Academic operations by effectively managing the maintenance and integrity of all student academic records, and operational procedures related to those records, including student academic preparedness and evaluation, registration, permanent record maintenance, enrollment, transfers, grading, graduation, degree conferment, residency, NCAA regulations, and other related functions. The University Registrar must provide strong leadership consistent with the academic goals and mission of the institution. The Registrar will also serve as the Chief Compliance Officer for the department, maintaining compliance with regard to state and federal regulations.

Registrar
  • Serve as the official student data custodian. Accountable for ensuring the accuracy and integrity of all academic student records in compliance with all state and federal reporting and records maintenance guidelines. Includes all historical documents and current records captured in the Banner Student Information System and Xtender.
  • Serve as the University FERPA Officer. Review regulations and laws concerning student privacy and accessibility and reviews contracts to ensure the support and maintenance of Auburn University at Montgomery policy and practice. Provide compliance training as required.
  • Approve special requests for student data to ensure compliance with FERPA and other regulatory guidelines.
  • Maintain the Banner transfer articulation catalog and evaluate all incoming student transfer courses not previously reviewed for equivalency, ensuring quality control.
  • Ensure that STARS AUM information is accurate on AGSC and AUM websites.
  • Stay current with AL Code 16-64 pertaining to Alabama State residency and assists the Change of Residency Committee regarding student appeals.
  • Working with approved University academic calendar, build and maintain tables and rules for start and end of term processing as well as build/update courses approved by the Curriculum Committee and Graduate Council.
  • Adjudicate late drop requests and other standard student appeals.
  • Assist advisors, college representatives, and others with problems related to registration, class building, etc.
  • Oversee all functions and processes associated with graduation including the graduation commencement ceremony, the submission of applications for graduation, and the issuance of all degrees by the University. Oversee and manage end-of-semester duties and the submission of final grades.
  • Provide leadership for all aspects of personnel management. Ensures the effective on-boarding of office staff including hiring, orientation, training, mentoring, supervising, evaluating, and supporting ongoing professional development to promote well-informed and motivated staff and excellent customer service at all levels, emphasizing student success & retention.
  • Develop and administer departmental operating budgets. Review financial reports and make recommendations concerning future budget needs. Confirm revenue generation by overseeing the fees associated with drop dates, official transcripts etc.
  • Serve as backup to the NCAA Enrollment Compliance officer for the Registrar’s Office.
  • Serves on university committees that support the goals and objectives of AUMs academic mission. A list of committees may include (but are not limited to): Academic Standards Committee, ex-officio; Calendar Committee, Readmissions Committee; Exceptional Student Committee; Commencement Committee; Associate Provosts Council; Curriculum Committee, ex-officio; Graduate Council, ex-officio; Core Curriculum Oversight Committee, ex-officio, Intercollege Athletics Committee, Athletic Appeals Committee.
Knowledge, Skills, and Abilities:
  • Skill in exceptional organizational and time management with demonstrated ability to plan, coordinate, prioritize, and effectively execute multiple initiatives, programs, and events, and meet established deadlines.
  • Skill in strong interpersonal communication; demonstrated ability to establish and develop productive and collegial relationships, collaboration, and communication with on campus constituencies (e.g., staff, faculty, students, managers, etc.) and building effective teams as needed.
  • Skill and technical proficiency in electronic document management systems, student information systems, i.e. Banner and MS Office Suite.
  • Skill in leadership qualities including motivation, supervision, delegation, planning and assessment; ability to train, mentor and effectively communicate with staff, faculty and students at all levels.
  • Ability to communicate clearly and effectively both in writing and verbally; demonstrated effective public speaking skills
Minimum Qualifications:
  • Minimum of 3-5 years of managerial experience as a registrar or closely related enrollment management professional at a higher education institution;
  • A bachelor’s degree is required, master’s degree preferred;
  • Excellent research, written, verbal and interpersonal communication skills;
  • Attuned to detail and insistent on correct information and data, both verbal and written;
  • Experience with student information systems; development of reports, plans and budgets, and regulations related to student records;
  • Demonstrated experience to manage complex operations and systems;
  • Experience of supervisory and track record of office leadership in an institution of higher education
