About the Position

The Associate Archivist contributes to the day-to-day function of the Special Collections and Archives department at Lewis & Clark College, reporting to the Head of Special Collections and College Archivist. As an associate archivist, this role works under the direction of the College Archivist to develop a strategy for collection, preservation, storage, and access to documents and objects of historical significance. This will require the person in this role to be up-to-date on privacy and copyright rules and guidelines as they may triage and respond to requests for records from both college departments and outside bodies. As a member of the Special Collections team, the Associate Archivist works to make the collection relevant to the curriculum and the educational mission of the college by working with faculty, students, and library colleagues to facilitate class visits to the reading room and work with the material, exhibitions, research, practicums, internships, events, and other uses of the collection. This may mean working with outside researchers as well as members of the Lewis & Clark community to access and understand the collection. The Associate Archivist participates in library and college initiatives and contributes to the archives professional community. In all their work, the Associate Archivist fosters a supportive and welcoming environment for students, staff, and faculty that is open to diverse perspectives, people, backgrounds, and experiences. This role has responsibility for reading room management and document delivery services, making sure that all special collections spaces are kept in good order and that research requests are fulfilled in a timely fashion.

What You'll Do

Archival and Special Collection Processing (40% of the time)

As the primary processing archivist, the Associate Archivist oversees the arrangement and description of collections and creation of encoded archival description for both physical and digital material. The Associate Archivist assures that both archival and library collections are processed to a professional standard. They manage student workers who assist with discrete processing projects. The Associate Archivist configures and administers the archival management and digital collections systems. Under the direction of the head of special collections, the Associate Archivist designs a repository structure that is logical, intuitive, and makes records easily retrievable. They implement plans for space rearrangements. They are responsible for reading room management, and must ensure that all public and repository spaces are orderly at the end of each day.

Information Requests (20%)

The Associate Archivist will have access to, and expert familiarity with, collections in closed stacks. This material is made up of documents from the institutional archive as well as both archival and library components of special collections. The Associate Archivist will respond to administrative requests with adherence to FERPA and other privacy regulations as well as copyright law that may apply to library material. They will provide reference support to students, faculty, institutional departments, and outside researchers relevant to our special collections and archival material. They will retrieve and at times digitize material and prepare for its effective use. The Associate Archivist will respond to requests for permission to publish or duplicate material from the collection, establish legal responsibility and ownership of the material, and, as appropriate, grant requests in consultation with the Head of Special Collections.

Record Management (10%)

The Associate Archivist will work under the direction of the Head of Special Collections and College Archivist to develop strategies for the acquisition, arrangement, and storage of the physical and digital archives of Lewis & Clark. This will require familiarity and consideration of the college retention schedule, privacy rules, archival standards, and the needs of individual departments. The Associate Archivist will appraise, arrange, and describe records for internal and public finding aids. They will work with individual departments before accessioning both electronic and physical records to understand their use and significance and identify whether the college archive is the correct repository for their storage. The Associate Archivist will be a key contributor to conversations about storage systems and techniques and will be responsible for retrieving and at times digitizing records for creating departments or for other offices on campus. They will implement, configure, and troubleshoot digital archival systems including records tracking software and an institutional repository.

Teaching and Instruction (10%)

The Associate Archivist will work with faculty to design instruction sessions that draw from special collections material or the college archive. They will assist with teaching and instruction of class meetings for the College of Arts and Sciences, the Graduate School of Education and Counselling, and the Law School as needed. They may contribute to the instruction of the library practicum or a practicum specific to special collections. During instruction sessions he or she will ensure that the rules of the reading room are followed. This may also include support of book arts and letterpress printing activities.

Curation and Design (10%)

The Associate Archivist will work with the rest of the special collections team to curate exhibitions and digital collections. This will require working with faculty to develop compelling exhibition narratives. It will require vigilance to ensure that standards of exhibition are followed, due consideration is given to security and preservation of rare material, and that all information presented is accurately represented and elegantly expressed. It may include contribution to the physical design of the exhibit, preparation of bibliographies and exhibition catalogs, production of digital displays, and the creation of online research tools. The Associate Archivist may contribute to the physical and digital design of a range of material from the department. They will be responsible for loans and loan agreements of both material borrowed from outside institutions for display at Lewis & Clark and for external loans made by the college.

Professional Development (5%)

The Associate Archivist will attend conferences and meetings in their field to maintain a good working knowledge of the discipline. They will present on projects underway at Lewis & Clark in which they have expertise. The Associate Archivist may serve on college committees or working groups outside of Lewis & Clark as appropriate. They are encouraged to undertake research and publish in their field.



Collection Development and Donor Relations (5%)

The Associate Archivist will contribute to conversations within the department about the collection, its trajectory, and how it might be developed. They will actively seek material relevant to the curriculum or the college or of historical significance. They will seek to develop and preserve unique archival material that witnesses the history of Portland, Oregon, or the Northwest. As a representative of the department they may cultivate relationships with stakeholders to secure and process donations.

Minimum Requirements
  • Master's of Library Science or equivalent degree
  • Two years of work experience in a library, archives, or similar environment and 1 year of experience in archives.
Preferred Requirements
  • Doctoral/JD Degree
  • Archives certificate
  • Special collections or museum experience
  • Proficiency in Latin or a modern language
Work Schedule
  • 37.5 hours per week

Pay Rate
  • $51,500 and $55,000 annually, commensurate with experience
