Job Summary

The executive assistant is responsible for providing advanced administrative support to the office of the president by preparing and distributing executive communications, greeting visitors, assisting with daily operations, and creating a friendly and professional environment.

Essential Job Functions and Performance Indicators

The intent of this job description is to provide a representation of the types of duties and level of responsibility that will be required of positions given this title. Job Responsibilities and Execution
  • Provides high-level administrative support to the office of the president
  • Oversees planning and execution of executive-level meetings and special events for the Board of Trustees, President’s Council, Cabinet, President’s Equity and Inclusion Council, and Strategy Team, including webinars and town halls
  • Takes and distributes meeting minutes
  • Provides excellent customer service during all interactions
  • Manages detailed day-to-day office operations
  • Manages all aspects of new Board of Trustees members’ orientation
  • Serves as software administrator and trainer for Director’s Desk (Lindenwood’s board management software)
  • Manages budget for President’s Office, General Counsel, Strategy & Innovation, Board of Trustees, and LindenGiving
  • Conducts all financial transactions and recordkeeping responsibilities
  • Assists with gathering of Higher Learning Commission (HLC) evidence
  • Generates and prepares reports and presentations as requested
  • Plans travel, lodging, and transportation for president and University visitors
  • Coordinates all tasks related to process of exiting employees
Service Excellence
  • Serves as a liaison between the President’s Office and all campus constituents
  • Supports the mission of the University and serves as an ambassador of the Q2 culture of service excellence
  • Models, supports, and holds others accountable to the University’s values – integrity, dedication, excellence, creativity, and teamwork
Communication, Teamwork, and Collaboration
  • Prepares President’s calendar and briefing materials daily
  • Works with students to resolve complaints
  • Collaborates with Advancement and Communications to prepare donor acknowledgements
  • Prepares, edits, and distributes executive communications
Job may require other duties as assigned.

Required Qualifications – An equivalent combination of education, training, and experience will be considered. Additional requirements may be designated by position.
  • Bachelor’s degree
  • Minimum of 5 years’ experience in providing executive administrative support
  • Completion of vaccination status survey and proof of COVID-19 vaccination or a negative COVID-19 test within 72 hours of hire.

  • Typing speed of 60+ words per minute
