Job Description:

POSITION SUMMARY

The Assistant to the President in the Office of the President (OP) provides executive-level administrative support with minimal daily supervision.

This position will provide high-level administrative support to the President by conducting research on current issues for the College, preparing reports and presentations, and support the President in speaking engagements and writing projects.
This role independently performs executive-level administrative work of a complex nature conveying highly sensitive information while maintaining confidentiality and building strong relationships with students, Leaders at the College, and community members and leaders.

This position makes important decisions on a regular basis and will act as a thought-partner with the President, interacting with the President often and having a role in most of the President’s activities.

ESSENTIAL JOB FUNCTIONS

Leadership Support

Works directly with the President to develop presentations, stakeholder communications and other collateral documents, as necessary. Collaborates with Marketing & Communications to develop scripts for the President’s messaging and public speaking engagements.

Coordinates and prepares Presidential events and briefings with internal and external stakeholders. Researches information and data, synthesizes and develops reports in response to emerging policy, legislation and/or current events.

Provides day-to-day support for the President’s communication and scheduling needs. Reviews documents and reports to notify President of issues, opportunities, patterns or data warranting attention.

Maintains publications, reports and other work products for consideration by Board of Trustees, Ohio Board of Regents, National Commission of Higher Education, etc. and other sensitive information.

Operational Leadership

Reviews incoming documents and reports. Establishes priorities and gathers pertinent background information to facilitate appropriate action. Works independently and meets deadlines and objectives, which require extensive knowledge of College policies, procedures, and practices.

Exhibits a strong grasp of office protocols and executive-level professional practices. Monitors the budget and provides feedback to the Budget Office.

Originates correspondence and generates reports on behalf of the Office of the President. Originates memos and routine correspondence including responses to inquiries and other communication requiring creativity and an exercise of judgement. Performs research and prepares correspondence, documents, and reports.

Maintains record keeping systems in accordance with records retention schedule. Assesses record keeping needs. Designs and maintains filing systems, as needed.

Relationship Management

Provides strategic support for external stakeholder groups (i.e. Central Ohio Compact, Workforce Advisory Council, and College Promise).

Collaborates with the President and designated representatives to develop theme topics for internal publication and speeches.

Serves as the liaison member of various committees and task forces and represents the Office of the President. Reports to the President on committee progress as necessary.

Works with individuals and groups from around the College to help the President connect with students, individually and in groups, formally and informally.

Team Member and Contributor

Works closely with the President’s Executive Assistant, Chief of Staff, and other professionals to set a positive, collaborative tone for the office and the College.

Manages multiple assignments of varying complexity while meeting federal and state, as well as internal regulations and procedures.

Ensures department and College name and image is perceived positively by external as well as internal audience/stakeholders. Performs other duties as assigned.

Knowledge of: structure, functioning and culture of College environment; structure, governance and culture of higher education or public policy; trends in higher education and organizational development; structure, function and culture of state government regarding higher education; federal government and programs affecting higher education; global partnership trends in higher education; community function, culture and processes; use of statistical and qualitative measures and limitations to data inferences.

Skilled in: listening and observation; strong verbal and written communications; working with data and documents; generating complex reports and supporting documentation; software applications including PowerPoint, Excel, word processing, and hybrid meeting support; learning new technologies.

Ability to: remain professional under pressure, build healthy working relationships, represent the office of the President both internally and externally, plan strategically and facilitate processes; establish project priorities and standards; evaluate broad-based information on diverse topics, identify relevance and synthesize it into formats that communicate to external audiences; work effectively with persons across all departments and levels of employment; conceptualize processes, understand systems and global and micro formats; listen and understand others; maintain confidential and sensitive information.

While performing duties of this job, the employee regularly exhibits digital dexterity when entering data into computer.
The employee frequently sits for periods of time, stands, and walks. Employee converses verbally or manually with others in person as well as by telephone.

Vision demands include close, relatively detailed vision when focusing on computer screen. Employee occasionally lifts up to 10 pounds.

Working Conditions

Normal office working conditions. The employee is not subject to adverse environmental conditions.

MINIMUM QUALIFICATIONS:

Associate's degree in a related field and three (3) years of experience working in a progressively responsible administrative capacity to a CEO, Public Official or other official, or related experience. State Motor Vehicle Operator's License or demonstrable ability to gain access to work site(s). An appropriate combination of education, training, coursework, and experience may qualify a candidate.
