Job Description

Plans, organizes, and directs the day-to-day department operations to promote the efficiency and effectiveness of various functional areas to include transcript and document processing, system management, stakeholder service timelines and process enhancement. Applies leadership skills and subject matter expertise related to functions of department, administers the policies and objective of the University, and provides coaching and mentoring to the department managers.

This position is located at the Flagstaff Mountain Campus.

Leadership and Supervisory - 45%

  • Utilizes performance management and leadership to maximize staff performance, development and overall department morale.
  • Provides leadership and vision to the Data Management Team.
  • Advises relevant staff on transcript processes and associated timelines.
  • Creates and conducts training programs for relevant staff on changes related to new and existing processes.
  • Hires, trains, supervises, and evaluates 8 full-time admissions specialist and student workers; coordinates on-going training to include skill-building and resource knowledge.
  • Directs the work of the Admissions team to ensure that efficient, scalable, and best-practice service standards are met for new NAU applicants.
  • Builds and fosters a team culture that encourages the exchange of creative ideas with a focus on collaboration, problem solving, end-user satisfaction, and professional development.

Strategic Planning - 20%

  • Develops processes related to specific populations to enhance the service model where necessary for the purposes of increased yield. These include but are not limited to prospect management, transcripts processing, test score loading and document management.
  • Provides guidance and consistency as to how admissions processes impact the department and the overall University operation.
  • Serves as member of UAO Leadership Team and coordinates with peers on cross-functional operational processes, future development opportunities and implementation.

Process Management - 20%

  • Creates, administers, and evaluates processes and workflows related to document management.
  • Oversees and manages daily admissions workflow to include Salesforce case management, application loading, OnBase workflow and related Peoplesoft processes.
  • Conducts research to propose, coordinate, organize, and initiate initiatives within Enrollment Management.
  • Manages the implementation of new process while coordinating with key stakeholders in ITS and ESBA for technology specifications.
  • Identifies and allocates resources to respond to end-user questions, issues, and service opportunities; coordinate user support for questions or issues related to application and transcript processing, matriculation and term activation.
  • Evaluates processes/procedures regularly; proposes, develops, documents, and implements processes/procedures to ensure continuous improvements as to how service is provided as well as gather, organize, and store information needed to assist constituents more efficiently and completely while keeping in alignment with the NAU mission as well as adhering to efficiency principles.
  • Collaborates with ESBA team on functionality of the PeopleSoft and OnBase systems as related to technical issues and system updates as well as designing and building new functionality within these systems to create efficiencies for admissions.

Liaison/Partnership - 10%

  • Serves as liaison to faculty, staff, service units and other departments; identify opportunities to collaborate and improve communication whenever possible.
  • Liaison to external recruitment partners to include University Admissions, Student Service Center, Call Center and Enrollment and Student Services.
  • Represents Admissions Processing with departments across campus as well as within Enrollment Management by collaborating and developing effective and productive working partnerships.
  • Acts as Liaison between recruitment teams and the Admissions processing team:
  • Trains on new updates to processes and admission impacts.
  • Troubleshoots technical issues related to tools and systems.
  • Assists with resolving elevated student issues.
  • Communicates with partners regarding admissions procedures, timelines, and processes that impact the student experience.
  • Develops and maintains strong professional relationships to ensure coordination and collaboration with units university wide.

Other duties as assigned - 5%


Minimum Qualifications

  • Undergraduate bachelor’s degree.
  • 3-5 years of relevant experience.
  • 2-4 years of management or supervisory experience.
  • Any combination of relevant education and experience may be substituted for the educational requirement on a year-for-year basis.

Preferred Qualifications

  • Master's degree or higher.
  • 3-5 years of management experience in higher education.
  • Previous experience working in systems such as PeopleSoft, OnBase and Salesforce.
