Suffolk University is pleased to announce recruitment for a FT COVID Logistics Manager to assist with the Universitys comprehensive response to COVID-19. The COVID Logistics Manager is an opportunity to join a fast-paced, supportive, and team-oriented group of clinicians and other support staff in the Universitys Counseling, Health & Wellness Center (CHW). This position provides essential non-clinical administrative functions in collaboration with a team of dedicated medical professionals and other support staff. Primary responsibilities of this position include management of Suffolks robust surveillance testing program and test-site staffing, internal coordination of non-clinical services for residential students (meal delivery, testing and medication delivery, etc.), and the tracking and reporting of testing compliance and other COVID-related compliance and/or data needs for students, faculty, and staff. This position requires close collaboration Residential Life, Student Affairs, Human Resources, Campus Safety, RAM Card Services, Facilities, Dining Services, and the Information Technology Team. The COVID Logistics Manager reports to the Director of Medical Operations in CHW who oversees the Centers COVID-19 response functions. Successful applicants will also have experience with data management and reporting, oversight of logistics, and management of human and financial resources.

Experience in higher education and/or healthcare administration or data management is preferred. This position is a time-limited, full-time, benefited, salaried position. This position also provides after-hours on-call response when needed which may require nights and weekend communication with key campus partners. Opportunities for continued service depend on the Universitys ongoing COVID management strategies over time.

Responsibilities:

  • In collaboration with the Director of Medical Operations, serve as a member of the Integrated Response Team to coordinate relevant logistics related to the Universitys comprehensive COVID response.
  • Directly manage and oversee multiple COVID-19 testing sites on campus. This includes responsibility for recruitment and management of testing site staff, coordination of test site operating hours and protocols, coordination of test site supplies, and set-up/maintenance of each site in conjunction with relevant University departments and decision-making bodies. Clinical training for test-site staff will be conducted by CHW medical personnel as needed.
  • Serve as contract manager and primary contact for the Broad Institute in Cambridge, MA. This includes predicting and ordering test site supplies as well as responsibility for data integration between the Broad and Suffolk University data systems in collaboration with Suffolks ITS and other departments.
  • Establish and maintain data systems to track testing compliance for students, staff, and faculty. Prepare reports for Student Affairs and Human Resources regarding testing compliance. Assist with compliance-related enforcement communication in conjunction with Student Affairs, Human Resources, Residence Life, Ram Card Services, and other offices as needed. This position may also include management of 1-2 temporary administrative staff in CHW who support COVID operations and logistics.
  • Coordinate logistics related to other support services for residential students related to COVID, including meal/test/medication delivery, re-location into isolation spaces, or other services as needed. Coordinate regularly with Residence Life, Campus Safety, and Suffolks dining services to facilitate services and problem-solve as needed.
  • Serve as point person to work with Campus Safety and RAM Card Services to communicate information pertaining to building access and restriction (linked to COVID vaccination compliance, COVID infection status or exposure, and testing compliance).
  • Assist with campus notifications related to COVID-19 operational logistics, including communication regarding testing protocols, noncompliance, potential exposure, and other non-clinical communications.
  • Other duties as assigned.

Qualifications:

Minimum B.A. or B.S. Degree. MA in healthcare administration, higher education or other related field preferred.

Experience as a manager in healthcare or higher education preferred.

Demonstrated experience with data management and reporting, including via of electronic medical records and/or large-scale data-management software such as Colleague, Workday, or Banner.

Experience with logistics and/or operations.

High attention to detail and accuracy. Comfort with learning new software.

Strong interpersonal communication skills and orientation toward customer service.

Ability to work effectively as a team member within a fast-paced, collaborative and supportive environment

Other experience in higher education.

Experience working with a diverse populations and/or in diverse work environments. Values diversity and able to work with individuals from a wide variety of identities, backgrounds, and experiences.
