Job Summary

The Department of Microbiology and Immunology and the Institute for Molecular Medicine and Infectious Disease is hiring a Program Coordinator to assist with the day-to-day operations in the administrative office. The Program Coordinator will be responsible for overseeing the seminar series, maintaining the conference room schedules, ordering supplies, PCard coordination, and assisting with special projects. Maintain an effective and cooperative working relationship among all levels within the Department and Institution. Communicate effectively with a variety of professional and support staff. Must exercise sound judgment in maintaining the confidentiality of all workplace information. Interprets and ensures adherence to all Departmental and Institutional policies and procedures as they apply in a variety of situations.

Essential Functions
  • Department Seminar Series – work in conjunction with faculty members to schedule seminars, interact with seminar speaker to gather relevant information for their presentation, coordinate their travel arrangements, distribute seminar flyers, order lunch, ensure the speaker is paid for presentation and any incidentals during their travel.
  • PCard Coordination - Send monthly reminders to all Pcard holders in the department, gather statements and invoices for timely submission to Procurement.
  • Maintain the Departmental conference room calendars – Queen Lane and New College Building – schedule classes, laboratory meetings, etc. Respond quickly to these requests and inform individuals of any conflicts.
  • Master’s Program Advisory Assistant - Attend bi-weekly meeting for the Department of Microbiology and Immunology MS Programs, compile agenda and take minutes, follow-up on any issues that arise.
  • Assist with special projects in coordination with the Department Chair, Department Administrator and Business Manager - including collecting faculty teaching hours, and pending grant submission information, and keeping this data up to date.
  • Ordering of laboratory supplies via SmartSource or Pcard and tracking those expenses for any faculty on departmental bridge funds.
  • General Office Duties such as troubleshooting copier/scanner, ordering office supplies, and generating UPS labels as requested.
  • Meet with Department Chair, Department Administrator, and Business Manager on a regular basis.
  • Other additional duties as assigned by the Chair of the Department of Microbiology and Immunology and Director of the Institute for Molecular Medicine and Infectious Disease.
Required Qualifications
  • Highschool Diploma or GED
  • 3-5 years of related experience or an equivalent combination of education and experience
  • Proficient with MS Office including Word, Excel, and Outlook
Preferred Qualifications
  • Strong interpersonal, verbal, and written communications skills
  • Excellent customer service skills
  • Ability to learn University-specific systems
  • This position requires the ability to switch gears depending on project deadlines and remains flexible in order to adapt to changing priorities
  • Must have the ability to work independently as well as collaboratively
